As Administrative Assistant you are the first contact for our customers and vendors and support our CEO and Service Team in administrative tasks. You are an independent worker with an attention to detail and responsibility.

Key responsibilities:

  • First point of contact for all incoming customer calls, Sales & Service
  • Welcomes visitors in a friendly manner and attends to them
  • Takes over client- and vendor communication
  • Prepares specific quotes and orders according to demand for service visits and spare parts
  • Writes invoices Performs miscellaneous administrative work
  • Requests offers and estimates from vendors, places orders after approval
  • Monitors the market to locate new and cost-efficient vendors
  • Is responsible for the appearance of the offices
  • Supports the CEO in all administrative areas Plans and executes independent projects
  • Responsible for correspondence according to manuscripts and keywords
  • Responsible for creating and establishing company internal work instructions
  • Responsible for process improvement
  • Monitors and manages the inventory
  • Is responsible for employee travel planning (flight, rental car, hotel)
  • Organizes the shipment of spare parts
  • Orders translation services
  • Replaces Sales Coordinator on their vacation

Required Qualification

  • Successfully completed administrative education
  • Technical knowledge
  • Team player with friendly and determined appearance
  • Excellent negotiating skills
  • High degree of computer proficiency
  • Good speaking knowledge of Spanish language would be advantageous
