Job Title: Administrative Assistant II

IBEX IT Business Experts, LLC is seeking an experienced Administrative Assistant II to provide high-level administrative support to our team. The ideal candidate will have a strong background in office administration, excellent communication skills, and the ability to work independently with minimal supervision.

Key Responsibilities:
  • Provide administrative support to the team, including typing correspondence, reports, and records.
  • Proofread outgoing correspondence to ensure accuracy and professionalism.
  • Search for, assemble, and summarize information from management systems, files, and other documents as requested.
  • Arrange meetings and conferences, including room reservations, scheduling, and notifying participants.
  • Assist in the preparation of agendas for meetings, contact attendees, and prepare correspondence and minutes of meetings.
  • Make travel arrangements for personnel, including hotel and rental car reservations, plane and train tickets, and travel authorization requests.
  • Maintain assigned office calendars and schedules, appointments, and meetings.
  • Manage designated executive's office files, including establishing new files and disposing of outdated records.
Requirements:
  • High school graduate or equivalent.
  • Four years of experience performing office administration duties without day-to-day direction.
  • Ability to pass a Federal Government security/background check and a drug check.
  • Accurate typing of at least 35 wpm.
  • Proficient in Microsoft Office products, including PowerPoint, Word, Excel, Outlook, and SharePoint.
  • Excellent communication and organizational skills.
  • Ability to work independently with minimal supervision.
