Job Summary:
Administrative assistant for a small, service-oriented office to provide administrative and business detail support by performing the following duties.
Job Responsibilities:
- Answer and screen phone calls and sends messages accordingly.
- Dispatches customer service calls to appropriate technicians.
- Enters customer service calls into database and maintains proper information.
- Coordinates accounts payable. Communicates with HQ finance department and vendors when needed.
- Maintains employee info and files.
- Composes and types routine correspondence. Generates and maintains spreadsheets.
- Files documents and maintains filing system.
- Makes copies and scans correspondence and other printed material.
- Orders and maintains supplies and arranges for equipment maintenance.
- Opens and routes incoming mail and packages. Prepares outgoing mail and packages (USPS, FedEx).
Education:
- Associate’s degree or equivalent from two-year college or technical school, plus four years related experience and/or training; or equivalent combination of education and experience.
Requirements:
- Microsoft Office: Proficient in Word, Excel and Outlook (must); knowledge of PowerPoint and Access a plus.
- Good written and verbal communication skills.
- Excellent time management skills and ability to multi-task and prioritize work.
- Attention to detail and problem solving skills.
- Strong organizational skills.
- Knowledge of office management procedures.
- Dispatching experience a plus.
