The Ordway: The Ordway is the arts epicenter of Saint Paul, Minnesota, and one of the leading nonprofits performing arts centers in the country. Known as the most comfortable place to catch a show in Minnesota, the Ordway includes a magnificent 1,900-seat Music Theater, a state-of-the-art 1,100-seat Concert Hall and spacious lobbies. The Ordway aims to reflect the communities it serves and address barriers to ensure everyone can experience the power of the performing arts.

Position Purpose: The Executive Operations Assistant plays a pivotal role in the administrative organization and support of executive and governance initiatives. The position involves frequent information exchange and efficient follow-up, fostering effective engagement and interactions between board members, arts partners, community stakeholders, and the executive team. The role requires handling proprietary information with discretion, anticipating the needs of team members, and providing comprehensive administrative support to ensure seamless operations.

Key Performance Areas:

  • Provide comprehensive administrative support to the executive team.
  • Manage Ordway's internal board webpage by keeping all materials and contact information up-to-date and orienting new board members to this important tool.
  • Attend board meetings and coordinate meeting logistics and technology aspects to ensure a productive and engaging experience for attendees in person and remotely.
  • Support the creation of initial drafts for materials and visual presentations required for Board and committee meetings.
  • Maintain a digital photo repository of images capturing current Ordway events used in multiple reports or presentations throughout the year.
  • Assist in planning and executing engagements involving various stakeholders.
  • Collaborate with the Ticket Services to fulfill ticketing requests initiated by the president and CEO, including access tickets for cultivation purposes, stakeholder requests, and charitable ticket donation requests.
  • Process monthly expense reports.
  • Administratively support Ordway’s President and CEO during his term as president of the Arts Partnership by taking the lead in scheduling, prepping, and notetaking for Arts Partnership CEO and Board meetings
  • Contribute to projects outside the primary job scope, providing administrative support as needed.

Other Qualifications:

  • At least five (5) years of administrative experience.
  • High school diploma or GED, Associate’s or Bachelor’s degree in related field desirable.
  • Reliable transportation required.
  • Occasional availability to work evenings and/or weekends as needed.
  • Ability to collaborate, cooperate, persuade, position, and communicate information in a public setting and interpret information that is not always straightforward.
  • Proficient use of Microsoft Office Suite (Word, PowerPoint) and intermediate Excel.
  • High degree of sensitivity for confidentiality.
  • Intermediate ability to compose, write, and edit reports and documents with appropriate grammar, punctuation, sentence structure, clarity, and creativity.
  • Ability to handle multiple tasks and varying workloads.
  • Ability to research and gather data/information for others to use in budget development.
  • Ability to understand stakeholder requests, offer solutions, prioritize tasks, be proactive, demonstrate flexibility and a desire to satisfy the stakeholder and progress the Ordway’s mission.
  • Ability to work effectively in a collaborative and team setting.
