Administrative Assistant

Our ideal candidate has extensive customer service skills, is great with people – especially older people, has a passion for helping others, possesses excellent communication, organization, and time management skills, navigates technology with ease, and is adept at managing substantial phone and email correspondence to guarantee a seamless and efficient scheduling process.

- Assist clients or potential clients with scheduling appointment or initial consultations, while providing exceptional customer service
- Answer phones, direct callers to appropriate team member
- Organize and maintain calendars for various team members to ensure all appointments are correctly and promptly added
- Provide daily support to paralegals and attorney's in order to maintain quality, time and efficiency standards
- Perform general operational tasks including copying, scanning, mailing, assisting drop-in clients, filing paperwork (and electronic communications), handling voice mail messages, and creating new client physical and electronic file
- Prepare client invoices
- Ensure the highest level of client satisfaction by responding promptly to all client calls, questions, or inquiries.
- Minimum of 2-3 years customer service or administrative experience
- AA or BA/BS is preferred
- Personable, welcoming attitude, people oriented and enjoys being on the phone
- Loves technology and learning new software; navigates computer programs with ease
- Thrives in a fast paced environment
- Excellent communication skills (in-person, on the phone, and in writing)
- Ability to quickly and accurately finish detailed work
- Ability to organize, monitor, and track numerous ongoing and one-time activities
- Ability to learn and follow procedures and initiative to ask questions
- Proficient in Microsoft Office applications
- Team player with a great sense of humor and a desire to learn and grow
- Based on experience
