Position Overview
The Administrative Assistant in the La Jolla office will support the general office administration activities of a dynamic, high-growth organization. This role is client-facing, so the candidate must project a professional company image through in-person and phone interaction.
Essential Job Functions:
- Provide timely, professional administrative assistance to employees and executives to enhance the team's productivity
- Prepare Travel & Expense reports
- Create, edit, and troubleshoot documents using Microsoft Office (must be intermediate to advance in Microsoft PowerPoint, Word, Excel)
- Support the production and assembly of company presentations and client materials
- Setup and coordinate meetings and conference calls
- Maintain hard copy and support electronic filing system for company and client investment materials
- Support staff in assigned project-based work
- Manage Outlook inboxes, recording and saving down documents
- Setup and coordinate meetings and events
- Assist company executives with the scheduling of travel
- Act as a backup for general reception activity including answering telephones, scheduling, and directing clients and visitors
- Back-up for maintaining office supply room and kitchen and keeping track of inventory
- Support Facilities coordination
- Other duties as assigned
Education and/or Work Experience Requirements:
- College degree preferred
- At least 3 years of administrative experience in a financial services organization or equivalent
Required Knowledge, Skills, and Abilities
- Acute attention to detail
- Ability to be proactive and take initiative
- Strong ability to multi-task and prioritize workflow in a fast-paced, detail-oriented environment
- Intermediate to Advanced knowledge of Microsoft Office (Outlook, Word, and Excel essential), including knowledge of page and section breaks
- Professional verbal and written communication skills
- Foreign language skills is a bonus
Other Attributes and Physical Requirements:
- Ability to safely and successfully perform the essential job functions consistent with the ADA, FMLA, and other federal, state, and local standards, including meeting qualitative and/or quantitative productivity standards.
- Ability to maintain regular, punctual attendance consistent with the ADA, FMLA, and other federal, state, and local standards
- Must be able to lift and carry up to 20 lbs
- Must be able to talk, listen, and speak clearly on the telephone
