Summary: The Medical Records Data Specialist (MRDS) is responsible for reviewing and processing data into data management systems in an accurate and timely manner. In addition, this position requires providing overall clerical support for various REACHUP Programs. The MRDS will supervise Data Entry Clerks/Medical Records Clerks as well as work closely with program staff, Supervisors, Coordinators, Managers, Quality Improvement & Quality Assurance Director, and the Executive Leadership Team (ELT).

Duties and Scope of Responsibilities

• Develop and maintain a systematic method to monitor processes and an associated feedback loop to ensure compliance with the Heathy Start Standards and Guidelines

• Compile, organize, and review data collected by program staff for reports and uploading documents into the electronic data systems

• Perform and organize monthly chart audit and reports for staff, project partners, research team, and funding agencies, as directed by supervisor(s)

• Perform program support tasks such as maintaining program brochures and forms; photocopies; files; maintain program materials/office supplies and educational handouts; make reminder calls/emails for upcoming reports as requested by the supervisor(s)

• Performs general clerical functions such as typing memos, filing, preparing correspondences, reports, and other documents

• File documents in patients' charts in accordance with medical records process

• Complete client referrals as delegated by the supervisor

• Maintains confidentiality and adheres to HIPAA regulations

• Carry out all other responsibilities as directed by supervisor(s)

• Supervise Medical Records Clerks/Data Entry Clerks

• Perform other job duties as required

• Report all program updates to ELT, as required

Qualifications/Requirements:

• Possess a team approach commitment while working with a variety of constituents and community organizations
• Prioritize work effectively in a fast-paced, deadline-oriented office environment.
• Attention to detail, strong organizational skills, strong analytical and critical thinking skills and must be process driven.
• Excellent interpersonal, writing and computer skills
• Ability to identify solutions to problems, collect data, establish facts and draw valid conclusions.
• Reliable transportation with proof of valid driver's license and auto insurance or the ability and means to travel as needed for meetings and trainings

Education/Training/Experience

• Proficient personal computer experience to include Microsoft Outlook, Word, Excel, PowerPoint and Internet applications.
• Experience working within electronic medical/health records
• Bachelor's Degree preferred. High school diploma or general education degree (GED) required.
• A minimum two years' related experience is required
