Job Overview

Position Summary:

The Records Administration Specialist is responsible for the development and oversight of the organization's records management strategy.

Key Responsibilities:

  • Lead the transition from traditional paper documentation to digital record-keeping systems.
  • Prepare comprehensive reports and documentation as required.
  • Address inquiries and information requests from both internal stakeholders and external clients.
  • Ensure compliance with financial, legal, and administrative regulations.
  • Safeguard data integrity by classifying, indexing, archiving, or disposing of records as necessary.
  • Facilitate access to records and provide training for staff responsible for record maintenance.
  • Manage user access permissions within collaborative systems.
  • Conduct thorough searches for records across various platforms, including SharePoint and Outlook.
  • Deliver precise and timely results for legal discovery inquiries.
  • Report findings and updates to leadership regarding ongoing requests.
  • Maintain historical records related to request processing for quality assurance purposes.

Qualifications:

  • A Bachelor's Degree in Library Sciences, Statistics, Computer Science, or a related field with a minimum of 5 years of relevant experience, or a High School Diploma with at least 8 years of experience.
  • 2-5 years of experience in records management.
  • Proficient knowledge of records management principles, document types, metadata, retention policies, and business process management.
  • Understanding of taxonomy development, file plan structure, and permission management.
  • Strong skills in documenting procedures, problem-solving, analytical thinking, and organizational capabilities.
  • Excellent research, writing, communication, and presentation skills.
  • Familiarity with federal regulations related to records management.
  • Must possess TS/SCI security clearance.
