Position Overview: The Operations Coordinator plays a crucial role in supporting the smooth functioning of BVMI. This position is responsible for overseeing various administrative and operational tasks to ensure efficiency and effectiveness across different departments.


Key Responsibilities:

  1. Scheduling for Volunteers and Practitioners:
    • Coordinate volunteer schedules for the clinical calendar, ensuring adequate coverage and efficient use of resources, including nurses, scanners, and interpreters.
    • Schedule shifts for practitioners based on availability and patient needs, maintaining a balanced workload as needed.
  2. Banking:
    • Work with the Director to receive and process donations, ensuring accurate documentation and adherence to financial procedures.
    • Make deposits for donations received in a timely manner, maintaining detailed records for auditing purposes.
    • Collect all relevant receipts from various departments and employees regularly. Ensure all receipts are properly dated and categorized for easy tracking and verification.
    • Empty, count, and record the clinic's donation box weekly, and deposit the funds at the bank.
  3. Administrative:
    • Assess inventory levels for clinical operations and office supplies, anticipating needs and replenishing stock as necessary.
    • Research vendors, obtain quotes, and place orders for supplies, ensuring cost-effectiveness and timely delivery.
    • Coordinate with staff members to determine specific requirements and preferences for supplies, facilitating smooth operations.
    • Run errands for mailing and other necessary tasks as needed.
    • Update the OSHA binder and ensure compliance with relevant regulations.
  4. Clinical:
    • Responsible for the creation, updating, and maintenance of clinical forms, including converting medical history forms to PDF.
    • Act as a backup resource for troubleshooting all telehealth programs.
  5. Cross-Functional Collaboration:
    • Work closely with other staff members and departments to support organizational goals and initiatives.
    • Collaborate with volunteers and interns to delegate tasks and leverage additional support for operational activities.
    • Participate in staff meetings, training sessions, and strategic planning discussions to contribute ideas and insights.

Qualifications:

  • High school diploma or equivalent required; bachelor's degree in a relevant field preferred.
  • Previous experience in scheduling, financial management, or procurement is advantageous.
  • Strong organizational skills with the ability to prioritize tasks and manage competing demands effectively.
  • Proficiently manage multiple tasks within a fast-paced and demanding environment.
  • Attention to detail and accuracy in handling financial transactions and inventory management.
  • Excellent communication skills with the ability to collaborate with various management personnel.
  • Proficiency in computer applications such as Microsoft Office/Google Docs and willingness to learn new software as needed.
  • EMR experience preferred (Athena).
  • Must have a valid driver's license and reliable vehicle; mileage reimbursement is provided.
