Overall Position Summary and Objectives

The contractor will provide support for the intramural training program at the National Center for Advancing Translational Sciences (NCATS) of the National Institutes of Health. The contractor will apply their skills and expertise as a key contributor to the intramural training team, within the NCATS Education Branch. The contractor will work closely with the Intramural Translational Training Director and the Director of the Education Branch, and will serve the needs of our intramural trainees and mentors.

Statement of Work Details

Provide Technical knowledge and support in developing and evaluating the fellowship program, establishing process and procedures and maintaining files.

  • Represent NCATS at least one national conference, with a focus on underrepresented populations in the sciences, and engage in outreach to local institutions of higher education, to raise the profile of translational science and NCATS, and to engage with and recruit a diverse and highly qualified trainee population. This task requires travel to attend conference(s) around the nation. It includes transporting the conference booth, learning speaking points about NCATS, translational science, and NCATS fellowship opportunities, and engaging with scientists across training and career stages who approach the NCATS conference booth, as well as in other conference settings. 2
  • Collaborate closely with NCATS scientific and administrative staff on all needed activities related to the NCATS 2025 Summer
  • Internship Program (June- August 2025). Process applications and onboarding materials for the 2025 cohort of NCATS Summer
  • Internship Program participants, in compliance with both NIH- and NCATS-level policies and procedures. Collaborate closely with NCATS colleagues to plan content for the Summer Internship Program, including professional and scientific development opportunities and cohort social engagement. Provide leadership for NCATS Summer Internship Program poster day and engagement of NCATS summer interns in NIH poster day . 1
  • Coordinate with NCATS administrative staff to ensure that interns and fellows receive trainee orientation, required safety and other mandatory training, and are aware of all NCATS and NIH policies related to their appointments. Also ensure that NCATS staff overseeing interns and fellows receive this information.
  • Collaborate closely with NCATS scientific and administrative staff on all needed activities related to the NCATS-NCI Shady Grove
  • Intramural Training Retreat (September 2024). Coordinate planning meetings with NCATS and NCI Shady Grove training offices and NCATS and NCI trainees, preparing meeting minutes, extend invitations to speakers, promote the event to NCI and NCATS trainees, prepare the event agenda, communicate audiovisual needs to IT support, attend the retreat in- person and contribute to the logistics of the day. 3
  • Collaborate with NCATS staff to plan, develop, market, implement, evaluate, and enhance professional development, scientific development, and career exploration activities that serve the unique needs of NCATS trainees. These include opportunities for our summer interns and year-round fellows across training stages from undergraduate interns through postdoctoral fellows. Independently organize and moderate, facilitate, or lead these training events.

Produces various detailed reports for use by upper management.

  • Analyse and present selected program data to Branch and Center management staff.

Evaluate, develop, and implement the fellowship program, including the maintenance of files and documents; assess process and procedures and recommend improvements where needed.

  • Work with NCATS staff to ensure that the application and onboarding processes for all trainees comply with both NIH-level and NCATS-level policies and procedures.
  • Track entrance and exit interviews with NCATS intramural fellows to support their planning for their time at NCATS and their professional and scientific development. Requires engaging with the Intramural Translational Training Director to learn approaches to serve trainee needs, learn about the range of professional and scientific development opportunities at NCATS and NIH that trainees are able to participate in, and NCATS procedure for handling trainee complaints.
  • Collaborate with Education Branch staff to track compliance of NCATS fellows with requirement to complete annual individual development plans (IDPs) and discuss these in 1:1 meeting with Education Branch staff.
  • Coordinate education and training activities for NCATS trainees with related training and education activities in the broader NIH training and education landscape. Through collaboration and coordination, leverage training and education activities elsewhere at NIH to serve NCATS trainees.

Analyse, develops and implements new recruiting processes and a variety of training programs.

  • Prepare promotional materials for meeting exhibits and presentations, special events and other events.
  • In collaboration with NCATS staff, identify and implement additional strategies and approaches to recruit highly qualified underrepresented minorities to the NCATS intramural training program
  • Act as mentor and/or advocate to fellows at NCATS and elsewhere pursuing training and careers in translational science. Individually mentor students regarding scientific study, individual training, and career development programming.
