Job Description:

Roles and Responsibilities:

  • Coordinate the day-to-day office operation, including, but not limited to the organization and prioritization of tasks, responding to written communications, and providing information in response to requests via phone, to include directing inquiries to appropriate (Institute or Center) IC staff.
  • Act as focal point and primary initial contact for matters concerning the Office; design and coordinate systems for communications among staff to facilitate the efficient flow of information relating to projects and program activities.
  • Meet, greet, and work with a variety of visitors to the office.
  • Answer telephone calls in a professional and courteous manner. Take messages in a complete,c lear, and accurate manner.
  • Produce a wide range of documents; address a variety of office needs which may include word processing, information management, report preparation, publications, information gathering, communication. Prepare correspondence for the Division, Branch Chief or Executive Officer's signature.
  • Arrange meetings on own initiative or upon request, rearrange without consultation to accommodate unexpected circumstances.
  • Ensure Division, Branch Chief or Executive Officer's calendar is scheduled with meetings or events she/he should attend. Ensure Division, Branch Chief or Executive Officer is provided with complete read ahead material(s) in a timely manner.
  • Monitors workflow, actions, and tasks between the office and other program areas. Inform Contracting Officer Representative (COR) on status of action(s) including emerging issues that may require attention.
  • When needed, ensure all procurement actions are entered into NIDDK's purchasing system and completed in a timely manner.
  • When needed, work with locksmith, telecommunications, maintenance, information technology, and/or housekeeping to help ensure additional duties/actions are completed.
  • Ensure records in the office (both electronic and paper) are well organized in accordance with NIH policy.
  • Enter and track all orders in the NIDDK POTS, ensuring proper documentation is included in orders; submit receiving in POTS for staff as needed
  • Maintain general office support, including inventory.
