Takkion is seeking a detail-oriented and dedicated Accounts Payable Specialist to join our Accounting Team. This role is crucial in ensuring that all Accounts Payable information is accurately recorded in line with company policies and generally accepted accounting principles. The Accounts Payable Specialist will play a key role in the monthly accounting close, the yearly audit process, and reporting to management.

Duties and Responsibilities:


  • Review all invoices for appropriate documentation and approval prior to processing.
  • Reconcile invoices with processed POs, field tickets, or material receipts.
  • Ensure all entered invoices have appropriate supporting documentation.
  • Analyze invoices and collaborate with project accountants for correct account or project coding.
  • Resolve discrepancies related to purchase orders, work orders, invoices, or payments.
  • Prepare change orders or amendments to purchase orders as needed.
  • Process and prepare bank deposits.
  • Support weekly payment runs.
  • Reconcile vendor statements, research and correct discrepancies.
  • Address inquiries from vendors, contractors, and internal employees regarding invoices or payments.
  • Assist with vendor information verification and general vendor account management.
  • Help with 1099 filing preparation.
  • Provide high-level customer service internally and externally.
  • Maintain company confidentiality.
  • Communicate issues related to job responsibilities or deadlines.
  • Prepare account transaction details as requested by management.
  • Complete ad hoc reporting as required.
  • Perform other accounting or organizational duties as needed.


Required Education, Knowledge, Qualifications, and Experience:


  • Minimum 2 years of relevant professional experience.
  • Working knowledge of accounting systems (Microsoft Dynamics 365 preferred).
  • Basic understanding of accounting principles including debits, credits, and GL account structures.
  • Beginner to Intermediate Excel skills.
  • Strong attention to detail with a focus on accuracy and quality.
  • Flexibility to work overtime during peak periods.

Physical Requirements:

  • Sedentary work involving sitting most of the time.
  • Ability to exert up to 10 pounds of force occasionally.
  • Frequent use of fingers for typing and other tasks.
  • Effective verbal communication and hearing.
  • Close visual acuity for data preparation and analysis.
