SUMMARY

HPI Architecture is seeking a talented Marketing and Proposal Coordinator to support marketing requests and proposal efforts for the firm’s current market sectors of Education, Student Housing, and Senior Living.

DESCRIPTION

Proposal & Pursuit Assistance:

  • Support the Marketing and Communications Manager throughout the pursuit process
  • Assist in monitoring industry-related procurement sites (PlanetBids, IMS, Vendor Registry, District websites, etc.)
  • Download and file RFQ/RFP documents and distribute to Principals and Project Managers for review
  • Develop rapport and coordinate with consultants and project teams throughout the pursuit process, including kick off meetings and data collection
  • Assist with Win/Loss tracking of RFQ/RFPs for Business Development efforts
  • Coordinate and execute orders with reprographics vendors for printed materials needed for proposals and interviews (e.g. tabs, covers, transmittals, labels, leave-behinds, etc.)
  • Aid with the assembly of hardcopy proposal packages for delivery (as needed)
  • Schedule interview practice with internal team and subs (as needed)
  • Aid in reserving conference rooms and meeting spaces (with Admin Staff)

Marketing Maintenance & Organization:

  • Participate in weekly Marketing and Business Development meetings
  • Support the continuous maintenance of the marketing server and database
  • Update marketing reference materials such as resumes and project sheets
  • Assist in maintaining matrices, lists, and relevant statistical information
  • Support marketing efforts within the CRM platform

Digital Marketing, Promotions & Communications:

  • Create high-quality and innovative content on social media platforms
  • Engage with, and monitor HPI’s online presence on all social media platforms
  • Implement digital marketing campaign initiatives under the direction of the of Marketing and Communications Manager
  • Create advertisements for trade publications and event programs (as required)
  • Monitor mentions of HPI using google alerts
  • Assist with communications for E-blasts
  • Coordinate entries to various Awards competitions
  • Support and coordinate project photography
  • Order business cards for staff members

Event Planning & Involvement:

  • Coordinate the design and production of collateral materials for industry events, conferences, trade shows, and career fairs under the direction of the Marketing and Communications Manager (e.g. brochures, tablecloths, swag, banners, etc.)
  • Support the creation of project display boards for conferences and/or awards galas
  • Assist with Quarterly staff presentations
  • Provide support and excellent client services to other areas of the firm and all staff

KNOWLEDGE and SKILLS

  • Excellent verbal and written communication skills
  • Strong graphic design skillset with the ability to take strategic direction and transform into graphic solutions
  • Works well under pressure with the ability to meet strict deadlines and respond to constantly changing needs/schedules
  • Experience creating social media content with a keen understanding of corporate social media etiquette
  • Proficient working knowledge of social media platforms (LinkedIn, Instagram, Facebook, YouTube) using various digital marketing tools (Canva, Hoot Suite, and Constant Contact)
  • Ability to work independently with a self-motivated attitude and in a decentralized team environment
  • Ability to handle proprietary and confidential information
  • Strong organization skills and detail-oriented
  • Creative thinker with ability to generate innovative ideas
  • Strong problem-solving and critical-thinking skills
  • Ability to quickly learn new software programs

REQUIREMENTS

  • 1-3 years of related marketing experience in the A/E/C industry (architecture, engineering, or construction firm) preferred
  • Experience with the RFP/RFQ proposal process
  • Relevant four-year degree in Marketing, Communications, and/or Graphic Design preferred
  • Software proficiencies: Adobe Creative Suite, Bluebeam Studio, and Microsoft Office (Word, Excel, PowerPoint, and Outlook)
  • Occasional travel to both offices (Newport Beach and San Diego) for various events, Pre-Bid Meetings, and Proposal Delivery
