Summary of Position:

The Development Coordinator plays a pivotal role in the Development & Alumni Relations office, ensuring that the office functions as a collaborative, effective, and efficient team. The coordinator provides administrative support to the Interim Chief Advancement Officer, Director of Development, and the Leadership/Planned Giving team. Key responsibilities include coordinating project assembly, managing team meeting agendas and scheduling, overseeing mailings and electronic communication, planning travel itineraries, supporting solicitation preparation, and assisting with volunteer coordination and event planning.

Please note that this is a one-year position for the 2024-25 academic year; the position may be eligible for renewal depending on school needs.

Essential Functions and Responsibilities:

  • Serve as the primary administrative point of contact for the Development & Alumni Relations office.
  • Provide daily administrative coordination for the Interim Chief Advancement Officer & Director of Development including meeting scheduling and planning, calendar review and management, and special projects as assigned.
  • Support Milton Fund through running reports, helping with internal mailings, some Giving Day administrative management and project work.
  • Prepare high-touch donor gifts and communications to enable stewardship. Contribute to specialized donor experiences such as campus visits, dinners and meetings with leadership.
  • Prepare team members for solicitation visits by assembling research, background materials and helpful documents.
  • Arrange travel for Interim Chief Advancement Officer & Director of Development and Gift Officers.
  • Coordinate team meeting agendas/scheduling, take or record notes for departmental meetings, coordinate prospect management meetings, including visits from campus stakeholders in conjunction with the Interim Chief Advancement Officer & Director of Development and Director of the Milton Fund.
  • Maintain accurate paper and electronic records in Raiser’s Edge for Director and Officers. Prepare prospect lists and other reports from Raiser’s Edge regularly.
  • Guarantee prospect pipeline data through maintenance of prospect staging and portfolio assignments.
  • Support Planned Giving program through hard and soft mailings, events, and prospect tracking.
  • Coordinate with Advancement Operations team on regular reporting and review of performance metrics for team members, including pipeline data for the monthly prospect management meetings.
  • Collaborate with other Coordinators to support office-wide initiatives and projects.
  • Other duties and responsibilities as assigned.

Supervision to be received: Reports to the Interim Chief Advancement Officer &

Director of Development

Supervision to be exercised: There are no supervisory responsibilities for this position, but independence and autonomy are required.

Education/Certification/Licensure

Required: An associate’s degree

Preferred: A bachelor’s degree

Experience

Required: A minimum of three years of proven administrative experience

Preferred: Experience working in an independent boarding / day school

Competencies

  • Proficiency in multitasking and organizing the work of self and others, with the ability to prioritize responsibilities and projects.
  • Demonstrated ability to act with courtesy, tact, and diplomacy.
  • Excellent verbal and written communication skills.
  • Demonstrated computer expertise, including proficiency in Google Workspace, Microsoft Office, Adobe Creative Cloud, Raiser’s Edge and report writing. Ability to learn and adapt to new technology and communication systems, including Veracross.
  • Ability to work collaboratively with internal and external constituencies.
  • Understanding of confidentiality and related issues.
  • Receptive to supervision, feedback and professional development.
  • Desire to be a part of a dynamic educational community.

Physical Abilities

Required:

  • Must be able to work at a computer for up to 8 hours each day in conjunction with OSHA requirements.
  • Must be able to move around the Milton Academy campus without restriction.
  • Must be able to lift up to 25 pounds.
