Job Summary:

The Senior Coordinator – Events and Group Business is a key member of the resort leadership team and oversees the successful execution of all Afton Alps group business. This position will be responsible for delivering an Experience of a Lifetime to Afton Alps Guests by coordinating and organizing support from all applicable cross-functional department partners to deliver successful group outing experience. To be successful, the candidate must also demonstrate the Vail Resorts leadership competencies in coordinating such a multifaceted department.

 

With a large focus on field trips, special events, and group snow sports outings, this position will also be responsible for researching and recruiting new corporate and mid-week group business.  The candidate must be committed to superior Guest Service, extreme attention to detail, be an optimistic advocate for change, and develop a clear vision for how to effectively lead this key aspect of the Afton business. In addition, this position will be the winter first point of contact for our wedding line of business.

 

The coordinator will work with cross-functional department leads including: the Food and Beverage Manager, Product Sales and Service Managers, Rental/Retail Manager, Lift Operations Manager, Tubing Manager, Ski and Snowboard School Managers, General Manager, and the Marketing Manager. To be successful in this role, the individual will need to synthesize complex communication, logistical and operational needs between Afton departments and group leaders/participants.

 

Job Specifications:

  • Expected Pay Range: The budgeted range starts at $23.00 - $32.00. Actual pay will be adjusted based on experience.

Job Responsibilities:

  • Acts as the primary point of contact for all event-related coordination, communication, and execution
  • Owns the contents and distribution of event information.
  • Manages and distributes event calendars and runs of show to all applicable cross-functional groups.
  • Acts as the primary point of contact for all cross-functional groups that support events resort-wide and works with each department head to determine overall needs for said events.
  • Closely work with ski and snowboard school, F&B, and PSS leadership team to ensure accurate pricing and communication.
  • Manage all operational relationships between marketing, resort operations, ski school, F&B and mountain operations to execute events successfully.
  • Function as a resort night manager on duty 1 or two times per month.
  • Works with Resort Operations Senior Manager and/or General Manager to draft all event contracts, invoices, and collect payment.
  • First point of contact for wedding inquiries, Disseminate and cascade this communication to appropriate resort contact.
  • Confirms employee support for events and communicates to cross-functional groups, as necessary.
  • Acts as primary contact for all outside, event-specific vendors.
  • Determines and supervises the physical setup of all event areas.
  • Determines and executes the overall cadence for the event and ensures staff is executing to plan.
  • Acts as the primary point of contact for donation request. Works with General Manager to execute donations. Maintains donation record log and donation delivery.
  • Is accountable for proper and accurate accounting practices.
  • Resolves and documents Guest complaints. Accommodates special requests, when appropriate.
  • Upholds safety standards within the resort.
  • Ensures Senior Leadership Team is aware of and knowledgeable about all events occurring on property.
  • Partners with Marketing Department to understand and influence event marketing plans.
  • Partners with Marketing Department to drive event sales.
  • Partners with Senior Leadership Team to continuously optimize and improve processes and procedures.
  • Adheres to and models the mission, vision, and values of Vail Resorts and Afton Alps.
  • Performs other duties as assigned by the Resort Operations Manager.

 

Job Requirements:

  • High school diploma or equivalent
  • 4-year college degree (preferred)
  • At least 18 years of age
  • Minimum of 3 years of supervisory experience
  • Minimum of 3 years experience in a similar group coordinator role
  • Minimum of 3 years of experience in a Guest service environment
  • Previous direct sales experience (preferred)
  • RPOS experience (preferred)
  • Microsoft Office proficiency
  • Strong organizational and interpersonal skills
  • Ability to function in a high-stress environment
  • Works well on a team with a willingness to jump in and help, when needed
  • Positive attitude
  • Valid driver’s license
  • Able to communicate effectively (verbal and written) in English
  • Must be able to work flexible schedule including weekends, nights, weekdays, evenings, & holidays

 

The expected pay range is $23.00 - $32.00. This is the pay range we reasonably expect to pay for this position. Individual compensation decisions are based on a variety of factors.
