Job Description:

The Executive Personal Assistant to the CEO is a hybrid role that combines the traditional functions of an executive assistant with the personalized support of a personal assistant. This position requires a highly organized, discreet, and adaptable individual who can manage complex schedules, coordinate executive meetings, and handle personal errands and family-related tasks. The successful candidate will ensure the CEO's life runs smoothly and efficiently, enabling them to focus on leading the organization.

Key Responsibilities:

  • Comprehensive management of the CEO’s calendar, including scheduling executive meetings, appointments, and personal commitments.
  • Act as the primary point of contact for the CEO, handling communication with employees, clients, and other external partners.
  • Organize travel arrangements for the CEO and their family, ensuring seamless planning for business and personal trips.
  • Coordinate logistics for executive-level meetings and events, including preparing agendas, setting up technology, and facilitating follow-ups.
  • Handle personal errands and tasks, such as making coffee, arranging meals, shopping, and managing personal appointments, with a high level of discretion and efficiency.
  • Support the CEO in special projects, research, and strategic initiatives, offering administrative and operational assistance as needed.
  • Prepare and monitor invoices and expense reports, reconciling personal and business expenses.
  • Facilitate internal communication and assist with the coordination of staff events and activities, promoting a positive and cohesive organizational culture.

Qualifications:

  • Proven experience in a similar role, with a track record of managing both professional and personal tasks for a high-level executive.
  • Exceptional organizational and time management skills, with the ability to prioritize and multitask effectively.
  • Outstanding verbal and written communication abilities.
  • High level of proficiency in office productivity tools, with the ability to adapt to new technologies.
  • Discretion and confidentiality in handling sensitive information and personal matters.
  • Flexibility and adaptability, ready to address changing priorities and schedules.
  • Strong interpersonal skills, capable of building relationships at all levels of the organization and with the CEO’s family.
