Job DescriptionJob Description

Staples Construction is looking for a full-time experienced accounting professional. The person in this role will perform a variety of accounting clerical tasks related to the maintenance/processing of accounting records, invoices, and expenses. The schedule is Monday to Friday with a flexible work schedule. This is not a teleworking position. Must have a minimum of 2-years of experience in an accounts payable position.

TYPICAL DUTIES:

  • Enter data into the appropriate accounting system for payment processing. Submit to appropriate Team for approval and cost codes.
  • Assist with reviewing vendor documentation for payment approval. Contact vendor for missing documents.
  • Scan and attach invoices into accounting software system
  • Prepare weekly check runs for G&A/Indirect costs for Staples Construction, NDA Leasing, and any other entities the Company may acquire.
  • Maintain employee reimbursement information and process checks twice a month.
  • After checks are signed prepare for mailing, file backup documentation.
  • Review, organize, copy, and submit Visa reports to appropriate employee. Review back up received and coding, question as needed. Post and follow up any missing items.
  • Research outstanding checks, contact to see if received or if needed to be reissued
  • Monthly reports for IT, legal, and Visa
  • Assist with Verizon Wireless account maintenance and equipment ordering; phones, hotspots, and tablets.
  • Perform additional assignments per supervisor’s direction.

KNOWLEDGE, SKILLS, AND ABILITIES :

  • Must have a high school diploma or equivalent.
  • Requires 2-years of experience in an accounts payable capacity.
  • Must be able to alphabetize and be physically able to file documents in filing cabinets.
  • Must be able to file alphabetically and numerically.
  • Must work under deadlines; work under sense of urgency.
  • Proficiency in Microsoft Office (Outlook, Excel, Word)
  • Use logical, step-by-step procedures in work.
  • See details and recognize errors in numbers and spelling in written materials, charts, and tables.
  • Keep confidential information.
  • Work with great accuracy and write clearly.
  • Work closely with a supervisor.
  • Work with people in a team effort.
  • Use basic arithmetic skills; and perform the same work repeatedly.

  • Works in indoor office conditions
  • Works under pressure, in potentially stressful situations
  • Must report regularly during the normal operating hours (Full-Time, Monday to Friday)

  • Regularly required to lift, manipulate, and carry items of up to 10 pounds without assistance
  • Must wear approved Personal Protective Equipment when at construction site
  • Regularly required to: sit, stand, reach, walk, squat, kneel, bend
  • Regularly required to repetitively use hands to: push, pull, use fingers, bend and twist wrists
  • Must have the ability to see small details and at objects at a distance
  • Regularly required to talk and hear
  • Frequently is required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms fast-paced environment
  • Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception and ability to adjust focus
