  • Arrive to work each day prepared to be productive, knowledgeable, engaging, and helpful.

  • Provide exceptional customer service always.  Make it a priority to be courteous, friendly, helpful, and prompt to our clients, vendors, guests, and teammates.  

  • Verify order entry in the system to make sure that all information including dates, delivery address and instructions are accurate.

  • Coordinate international shipments from start to finish. This includes for standard orders: confirming booking, vessel routing, transit time, and quote no less than two weeks before expected pick up date. Expedited shipments should be processed based on instruction.

  • Provide accurate paperwork including packing slips to shippers and receivers. Verify that Vendor paperwork is not received by customers.

  • Notify supervisors and related sales team of any orders that are delayed in shipping or delayed in delivering as soon as notified by Freight Forwarder. Communicate the schedule impact of delay and provide alternate shipping rates and routings that may include expedited shipping to the internal team. Follow up until a clear course of action is given. 

  • Refer orders to the OPS Director which need to be processed for damage claims and include all required documentation. 

  • Process orders as shipped in our system upon receiving confirmation of pick up. Invoice within 24 hours of confirmed delivery. File proof of delivery (POD) in the customer file.

  • Provide freight budgets as requested by estimators in no more than 24 hours of request

  • Approve of freight bills based on a cross referencing of budget & quote vs actual. Dispute any bills that are inaccurate and follow up those disputes until resolved or transferred to the OPS Director to resolve. Submit all approved bills to accounting during the month in which they are received and within no more than one week of receipt. Follow up on contested bills until resolved.

  • Must be able to work evenings and weekends as needed or required.

  • Other duties as assigned.
