Join the Arkansas Municipal League as an Events Assistant and become a pivotal part of a team dedicated to serving Arkansas cities and towns. In this role, you will support the Director of Events and Special Projects in organizing and executing a diverse range of events that foster community engagement, provide valuable networking opportunities, and drive strategic initiatives aimed at improving local governance and municipal services. Your contributions will directly impact the success of these events and, by extension, the League’s mission to serve, educate, foster collaboration, and grow Arkansas communities.

This role offers exposure to large scale events, complex communications strategies, and strategic planning initiatives. Dynamic content creation, detailed organization, and diligent follow-through will be crucial skills for this role. Enthusiasm, adaptability, and a strong work ethic will make the next Events Assistant successful. It is crucial this role works efficiently and values tight turnaround times, understanding the time cost principal to giving something your best effort, promptly. Additionally, applicants must understand that no job is beneath the role, from picking up trash to recruiting high level sponsorships, events professions must be multitalented.

 

KEY RESPONSIBILITIES:

Event Coordination

• Play a key role in planning and executing statewide conferences, regional meetings, and office parties.

• Manage the end-to-end logistics such as selecting and coordinating venues, arranging accommodations and transportation, and overseeing catering services to ensure a seamless experience for all attendees.

• Develop and distribute invitations, track RSVPs, and handle on-site registrations, contributing to well-organized and professionally executed events.

• Maintain comprehensive records of vendor agreements, confirmations, and other critical details to ensure smooth operations and accountability.

• Have a positive attitude toward being able to provide support to the League’s five Programs and other departments, specifically including the Executive Director and Executive Assistant, Operations, Communications, and Education teams as needed.

• Facilitate clear and effective communication with internal teams and external partners to support event success and organizational efficiency.

Marketing Assistance

• Create compelling marketing materials, including sponsorship prospectuses, invitations, and promotional presentations, to attract and engage attendees, speakers, staff, and stakeholders.

• Ability to ensure materials are visually appealing and aligned with the League’s brand.

Finance Liaison

• Oversee budget management and financial reporting, ensuring accurate tracking of financial transactions, including income, expenses, and reimbursements.

• Coordinate with finance and leadership teams to handle member registration fees and sponsor commitments, ensuring timely and accurate processing of payments.

Administrative Support

• Execute a variety of administrative tasks such member service inquiries, note taking and action item distribution, processing reimbursements, making copies for team meetings, etc.

• Strong organizational and detail-oriented skills, with a commitment to high standards of accuracy and efficiency.

RESIDENCY REQUIREMENT

• Must reside within an Arkansas city or incorporated town limit.

EDUCATION AND EXPERIENCE

• Bachelor’s degree in Business, Communications, Marketing, or a related field preferred.

• 3-5 years of experience in event planning or a related field, or an equivalent combination of education and experience.

TECHNOLOGY PROFICIENCIES

• Strong skills with Microsoft Office Suite or Apple iWork Suite for data management and communications.

• Management of social media platforms to enhance event visibility and engagement.

• Acquire training in CVent Event Planning and Marketing software to streamline event management processes.

• Photography, videography, interview, and on-the-record experience will help make this position successful.

• Assist with event audio/visual needs, serving as a liaison between speakers and technical staff to ensure high-quality presentations.
