Position: Orthodontic Treatment Coordinator

Location: Grand Rapids, MI, USA

Pay: $30 - $35

We are seeking a Dental Coordinator to join our team

Overview:

  • staff coverage staff schedule posted office policies for absenteeism time off request
  • strategizes annual calendar and patient days based on patient load and growth
  • evaluates needs to change the current schedule, including, but not limited to possible individual days for initial exams and consultations separating that from clinical procedures
  • Implement organized training, routine staff appreciation
  • Training Understand the concepts of “The Customer Comes Second”.

 

Staff Management – Getting to Know Your New Team

  • Staff evaluations immediately upon hire to understand each team member's personality and potential
  • Understand each staff member's role, current assignments, performance
  • evaluates current staff performance identify responsibilities, strengths, and weaknesses
  • staffing needs identifies deficiencies and positions to hire
  • organizes training protocols assigns responsibility to each position,
  • regular performance reviews, identifying deficiencies and methods to improve monitor holding accountability
  • Regular staff meetings developing and assigning tasks.
  • Bimonthly full staff meeting minutes, agenda, assignment, and deadlines
  • Morning meetings, review the tasks from the day before, the day of, and day after
  • Monitor the time clock and report payroll to an accountant

Operational Management

  • Weave® (Phone, texting, appointment reminders, voicemail) Mastering functions and constant dashboard monitoring. Complete the customization/ installation designing the communication tree of appropriate greetings, menus, and mailboxes
  • Orthotrac®. Office management software. Will need basic training but also will require a self-directed approach to understand the potential of all features
  • OrthoFi® and weave communications of
  • Identified needs for outsourcing
  • IT management/supervision and communications working with IT service
  • Facilities management evaluates current needs for maintenance repair and updates and organizes the use of current display monitors throughout the office for patient education and treatments available.

 

Financial Management

  • Understands profit loss reports,
  • Collections
  • Production and
  • Overhead
  • A/R
  • Communicates with an accountant regarding banking, cash positions, and tax documents.
  • Monitor and evaluate collection protocols,
  • Sending monthly statements as needed
  • Monitors overhead and understands optimal allocations, such as marketing, staff overhead, and operational expenses
  • Evaluates overhead, targets areas to reduce and develop budgets, delegates, and monitors
  • Responsible for payables
  • Delinquency protocols, understand, as an example, reasons for optimal delinquency
  • OrthoFi® experience a plus (third-party financing)
  • Must master patient presentation and monitor financial functions, reminders, communications, and reports
  • Develop and revise protocols for automated functions and scheduled messaging
  • Coordinate communications with phone system (Weave) messaging
  • Develop written protocols for all new patients’ financial communications and pending
  • Orthodontic management systems currently Orthotrac®
  • Understand all financial functions and generate daily, weekly, and monthly reports
  • Understand patient charting and digital imagining
  • Understand communication functions, sending email templates for financial, treatment, and correspondence to dentists
