Summary: 

The Administrative Assistant ll will perform a wide variety of routine administrative and clerical support activities for the office of human resources. This includes creating and distributing HR reports and utilizing automated systems to enter data; track time/attendance, and maintain human resources files.


Responsibilities: 


  • Provide office support functions such as answering the phone, distributing mail, maintaining calendars, document scanning, coordinating meetings, and reserving conference rooms.
  • Review, analyze and evaluate programs functions and processes to ensure that work performed is essential and contributes to the accomplishments of organizational objectives and overarching goals.
  • Recommend solutions to ensure efficiency of operations and facilitate improvement.
  • Apply HR laws, principles, policies, methods and practices.
  • Analyze and research information to conduct fact-finding and recommend solutions to moderately difficult issues.
  • Inform management on specific requests related to immediate problems of limited scope.
  • Work with higher graded specialists to provide advisory and support services for multiple organizations across the Agency.
  • Research and or analyze legislative, regulatory and Agency policy guidance in the area of recruitment and placement.
  • Use guidance or oversight from higher graded specialists, evaluate customer needs and recognize potential program issues and or trends.
  • Participate on projects that contribute to innovation, standardization and or streamline Human Resource Services.
  • Interpret established and pertinent regulations and organizational policies, management principles, administrative rules, and staffing guidelines.
  • Perform a variety of personnel support services and offer advice and assistance.
  • Draft correspondence, recommendations, reports, and memoranda to support administrative programs.
  • Review information and apply standard analytical techniques.
  • Develop recommendations, taking into account unanticipated charges and unusual factors.
  • Plan and develop new methods for coordinating the administrative work of a complex organization with disparate organizational segments requiring complicated administrative controls to accomplish the work of the Special Agent Recruitment management team.
  • Perform Quality Control Reviews of SA application files, documents to include reviewing documents for accuracy, regulatory requirements, etc. and preparing reports of findings.
  • Respond to employment verification requests from state, local and federal agencies.
  • Providing office support functions such as answering the phone, document scanning, and filing.
  • Manage external email boxes to communicate and receive documentation from applicants and external sources.
  • Document and verify receipt of required forms (including, but not limited to resumes, SF50s, and DD214s) for Special Agent Applications and upload the documents in a government furnished automated application or tracking system.
  • Maintain an electronic and a hard copy of all applicant records.
  • Prepare and distribute a variety of applicant form letters.
  • Communicate with division offices to obtain information or documents
  • Prepare and submit Background Investigation, Drug Panel, and Polygraph request packets.


Requirements

  • 1 year of specialized experience equivalent to a Client-11 federal grade level performing the duties of an HR Administrative Support Specialist.
