Job DescriptionJob Description

Generates new customers, manages current customer portfolio, coordinates and controls sales and outbound logistics to ensure all customers receive their quotes quickly and accurately, the orders are processed on time, according to the specifications required, in order to guarantee customer’s satisfaction, profitability and growth for the organization.

 

1. Increases customers portfolio by prospecting new customers and following up with them to start and develop long-term business relationships.

2. Maintains close communication with customers to guarantee regular sales to each of them.

3. Prepares proposals according to the specifications required by customers. Should understand specifications requested and propose honest, cost-effective solutions to our customers, to increase the chances of converting quotes to orders.

4. Builds and maintains a solid relationship with customers, prioritizing customer service, honesty, competitive prices and lead times as our main differentiators against our competitors.

5. Validates availability of products and lead times with our system and/or general manager to confirm customers, so they proceed with the purchase orders.

6. Calculates product’s volumes and weights to request freight quotes for all outbound domestic sales, LTL, partials and full truckloads.

7. Validates freight quotes and confirms orders to freight companies.

8. Coordinates pickup and delivery dates with our operations manager, the freight companies and customers.

9. Receives the purchase orders from our customers, verifies the products specifications, payment terms and prices are correct and gives them to the office manager including ship dates, shipping details, payment terms, in order to generate sales orders, pick tickets and delivery tickets. Once the pick tickets and delivery tickets are generated, should confirm all items and quantities were entered according to the purchases order, then should give the pick tickets and delivery tickets to the warehouse manager to be processed.

10. Validates that all orders ship according to the payment terms of every customer.

11. When there is any issue with a delivery, coordinates and follows up with freight companies to send claims for damaged products, collect the inherent payment and replace the product with the customer.

12. Checks the Space Plus USA’s calendar on a daily basis and coordinates with carriers and customers to guarantee all orders ship on time and all customers are informed in advance and are ready to receive them

13. Handles customer’s complaints, coordinates the activities to address them on a timely manner.

14. If there is any request to return any product, must validate the reasons to return, request the customer to fill out and sign the product return request form and then request the General Manager to authorize the return and terms linked to it. Then must coordinate the freight to bring back the products to our facility confirming in advance with the Operations Manager to make sure it will not affect any inbound or outbound shipments.

15. Requests all documents required from our customers to open them a file and set them up in Quickbooks.

16. Prepares samples kits and coordinates shipping to our domestic customers.

17. Coordinates to assure products, promotional material and so forth are shipped on time to expos, and promoting activities.

18. Supports the general manager in prospecting for new customers when requested, following up with them to start a business relationship.

19. Supports the general manager in other activities linked to sales and outbound logistics.

Skills required

-3-5 years of experience in sales.
-Should have at least 2 years of experience in customer service.
-Experience in the material handling industry (desired).

-Experience coordinating freight (full truckloads, partials, less than a truckload).
-Advanced Excel skills and knowledge of all Office programs.
-Experience with QuickBooks (desired not mandatory).
- Excellent communication and listening skills.
-Ability to prioritize and manage multiple demanding projects in a fast paced, constantly changing environment.
-Able to work independently.
-Energetic and balanced with a drive for results.
-Strong attention to detail and follow through.
-Team spirit.
-A polite, confident and friendly manner.
