Job DescriptionJob Description

We are seeking a skilled and organized Executive Assistant to provide administrative support to the Trustees of our multi-employer trust Funds. The ideal candidate will possess exceptional organizational abilities, attention to detail, and discretion in handling confidential information. This role will play a crucial part in ensuring the smooth operation of the Funds and facilitating effective communication between Trustees, stakeholders, and external parties.

This position is Part- Time, Tuesday- Thursday, from 8:00am- 5:00pm, Pay rate is $25.00- $30.00 DOE.

Key Responsibilities:

  • Provide high-level administrative support to the Trustees, including managing schedules, coordinating meetings, and handling correspondence.
  • Prepare and distribute meeting agendas, materials, and minutes for Trustee meetings and other relevant gatherings.
  • Assist in organizing and facilitating Trustee elections and appointments as necessary.
  • Maintain accurate and up-to-date records, documents, and databases related to Fund operations, participants, and stakeholders.
  • Coordinate travel arrangements and accommodations for Trustees and other staff as required.
  • Serve as a point of contact for inquiries from participants, stakeholders, and external parties, directing them to the appropriate Trustee or staff member as needed.
  • Assist in the preparation and distribution of reports, presentations, and communications related to Fund activities and performance.
  • Conduct research and compile information on relevant topics as directed by the Trustees or management.
  • Handle confidential and sensitive information with the utmost discretion and professionalism.
  • Collaborate with other administrative staff and departments to ensure efficient operation and communication within the organization.

Job Requirements

  •  Proven experience (3+ years) as an executive assistant or administrative assistant, preferably in a similar trust fund or financial services environment.
  •  Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with database management.
  •    Excellent organizational skills with the ability to prioritize tasks and manage multiple deadlines effectively.
  •    Strong interpersonal and communication skills, both written and verbal.
  •      Detail-oriented with a commitment to accuracy and quality in all tasks.
