RESPONSIBILITIES:

  • Handle a wide variety of situations and conflicts involving the clerical and administrative function of the office.
  • Prepare routine and advanced correspondence, including letters, memoranda, and reports.
  • Perform a variety of clerical and secretarial duties requiring knowledge of office routine and an understanding of the organization and procedures related to the work of the office.
  • Manage and monitor the flow of correspondence as necessary.
  • Process, disseminate, and track organizational tasks to completion.
  • Create folders and maintains electronic records of all assigned projects and administrative matters per agency policies.
  • Maintain office files following applicable regulations and ensure the timely response to suspense actions.
  • Research records of inquiries and official correspondence in support of the front office.
  • Provide administration, distribution, and routing of official documents through the agency.
  • Provide administrative support to Executive Personnel and staff. Participate in required staff and project meetings, documenting all action items/tasks.
  • Prepare a variety of complex narrative reports, including office correspondence.
  • Work independently on projects requiring research and preparing draft correspondence.
  • Demonstrate ability to be self-directed, take the initiative, anticipate and address needs, as well as see projects through to completion;
  • Review correspondence, reports, or similar materials from handwritten or electronic drafts ensuring correct grammar, spelling, capitalization, punctuation, and format in documents prepared by self and others are appropriate.
  • Ensure all correspondence is prepared and reviewed for completeness, content, grammatical accuracy, spelling, punctuation, and conformance with current policies, procedures, and sent using the required format.
  • Assist with supply management responsibilities including but not limited to reviewing and placing orders; receiving and stocking supplies; reconciling orders and receipt documentation.
  • Maintain accountability and maintenance for office supplies inventory.
  • Excellent calendar management skills, including the coordination of complex executive meetings;
  • Maintain Outlook calendar by scheduling appointments, meetings, conferences, and teleconferences considering competing priorities.
  • Support agenda development, assemble background material, provide logistics, etc. (Notetaking and brief preparation)
  • Proactively solves administrative problems and creates practical solutions.
  • Independently research and resolve, or offer solutions, to unusual problems in performing a variety of duties related to special projects involving administrative issues.
  • Respond rapidly to short notice reviews. (Short notice ranges from on the spot to within 30 minutes).


Requirements:
  • Minimum of US Citizenship required to obtain client issued Public Trust
  • Five years of relevant experience supporting Senior Government Officials/Executive
  • Experience using Concur travel platform is strongly preferred
  • Advanced computer and internet research skills
  • Excellent written and oral communication skills
  • Outstanding attention to detail, and an understanding of fundamental business writing
  • Expertise in Microsoft Office Products (i.e., Word, Excel, PowerPoint, and Outlook)


EDUCATION: Bachelor’s Degree or High School Diploma with 10 years of relevant experience
