We are searching for a perceptive, creative administrative manager to oversee office operations and work in direct correlation with the General Manager. The administrative manager will develop, review, and improve policies, systems, and procedures; and generally, ensure the office operates smoothly and efficiently.

To succeed as an administrative manager, you should be analytical, knowledgeable, and organized with a proactive attitude and strong leadership skills.

Administrative Manager Responsibilities:

  • Supervising the day-to-day operations of the administrative department.
  • Assist the General Manager in developing the company annual plan.
  • Report to GM if company-owned inventory exceeds 1% of annual sales.
  • Manage all accounting activities relating to G/L, A/R, A/P, & payroll. Produce company financial statements within 5 business days after the close of each month. Work closely with Sales Manager and Operations Manager to ensure that collection of money is occurring at the point of service, or proper
  • Manage accounts payable to take advantage of all available discounts from vendors. Where discounts are not available, pay accounts in 30 to 45 days.
  • Planning, scheduling, and promoting office events, including meetings, conferences, interviews, orientations, and training sessions.
  • Be responsible for the collecting and archiving of key performance data such as a number of calls run, a number of leads run, average sale amounts, closing ratios, customer renewal percentages, etc. Produce statistical data for key managers.
  • Overseeing special projects and tracking progress towards company goals.
  • Building and expanding on skills by engaging in educational opportunities.
  • Answer the phone, as seasonal demands require, remembering that the customer is the number one focus of the company, and they are not an interruption to other tasks. Be very courteous with ANY contact with customers of the company.
  • Respond to any issues and follow-up by coordinating with the appropriate departments or field units.
  • Respond to queries related to products and deliveries.
  • Use the radio, phone, or computer to direct crews and other field units to the appropriate sites.
  • Prioritize and organize calls according to urgency.
  • Collect and assemble the daily report information from the managers and provide the daily report to the General Manager by noon each day for the previous day's business.
  • Manage the company assets such as vehicles, information systems, and communication systems.
  • Avoid any finance charges being assessed for late payment.
  • Obey and teach the Team Rules and Team Philosophy.

Administrative Manager Requirements:

  • A high school diploma or equivalent qualification is required.
  • A minimum of 2 years of experience in a similar role.
  • Strong knowledge of emergency processes and procedures.
  • Excellent communication and interpersonal skills.
  • Proficient in MS Office with proven experience in data entry.
  • Ability to work well under pressure.
  • Experience in a related field, such as management or financial reporting, is preferred.
  • Exceptional leadership and time, task, and resource management skills.
  • Strong problem solving, critical thinking, coaching, interpersonal, and verbal and written communication skills.
  • Proficiency with computers, especially MS Office.
  • Ability to plan for and keep track of multiple projects and deadlines.
  • Familiarity with budget planning and enforcement, human resources, and customer service procedures.
  • Willingness to continue building skills through educational opportunities.
