We are seeking a reliable and organized individual to join our infectious disease office as a Front Desk Receptionist/Administrative Assistant. The primary responsibility of this position is to provide exceptional customer service and administrative support to patients, healthcare professionals, and visitors. The front desk receptionist will serve as the first point of contact for our office and play a crucial role in creating a positive and welcoming environment.

Responsibilities:

  • Greet and welcome patients, visitors, and healthcare professionals in a friendly and professional manner.
  • Manage and maintain the reception area, ensuring tidiness and a welcoming atmosphere.
  • Answer incoming phone calls, take messages, and direct callers to the appropriate person or department.
  • Schedule and confirm patient appointments, procedures, and follow-up visits.
  • Check-in patients, verify insurance information, and assist with necessary paperwork.
  • Collect and process patient copayments and payments for services rendered.
  • Maintain accurate and confidential patient records, ensuring compliance with HIPAA privacy regulations.
  • Maintain patient records and ensure accuracy and confidentiality of sensitive information.
  • Coordinate with healthcare providers and staff to facilitate efficient patient flow and address any scheduling or administrative concerns.
  • Assist with insurance verification, pre-authorization, and referral processes as needed.
  • Handle incoming and outgoing mail, faxes, and email correspondence.
  • Perform general administrative tasks, such as filing, data entry, and maintaining office supplies.
  • Collaborate with other team members to support the smooth operation of the office.

Qualifications:

  • High school diploma or equivalent.
  • Proven experience in a customer service or administrative role, preferably in a healthcare setting.
  • Excellent communication and interpersonal skills.
  • Strong organizational and multitasking abilities.
  • Proficiency in using computer systems and software, including electronic medical records (EMR) and Microsoft Office.
  • Ability to maintain professionalism and confidentiality in handling sensitive information.
  • Knowledge of medical terminology and insurance processes is a plus.
  • Ability to work effectively both independently and as part of a team.
