VPE Thermal is seeking an exceptional individual with a solid background in office administration, computer file organization, and attention to detail to embrace the role as Document Control. Job Description Details:

As Document Control at VPE Thermal, your primary role will be managing and controlling technical documents throughout their lifecycle, from creation to archiving.

  • Compiles, manages, and tracks company documents and ensures document accuracy, quality and integrity. Maintains a computer database of all filed documentation and posts changes to computerized or manual control records, releases documents, and notifies affected departments.
  • Processes Engineering Change Orders and performs clerical typing duties to generate and update documents as necessary. Confers with document originators to resolve discrepancies and compiles required changes to documents.
  • Collaboration with colleagues to make sure engineering drawings are reviewed and approved.
  • Participate in meetings and review upcoming projects.
  • Provides timely distribution of latest revision level documentation to all appropriate users and ensures that obsolete documentation is removed from distribution. This includes visiting the manufacturing floor to replace engineering drawings with the most updated versions.
  • Assists in adherence to record retention policies, safeguarding of information and retrieval of documents.
  • Help with coordinating final pressure tests, preparing job folders for 3rd party inspectors, and preparing certification packages for products being shipped.
  • Review calibration certificates, ASME certificates, ISO 9001, and skill certificate expiration dates and notify management.
  • Reviewing and maintaining the files including physical and computerized files.
  • Archives inactive records in accordance with the records retention schedule.
  • Assist with purchasing, marketing, engineering, and accounting related tasks, and anything in-between.

Preferred Experience and Skills

  • 2-3 years of documentation revision experience, and understanding of manufacturing, ECN, and NCR process.
  • Microsoft Office proficiency including Word and Excel.
  • Adobe Acrobat proficiency (PDF).
  • Understand files and folder organization in the computer and server space.
  • Detail, thorough, and initiative oriented.
  • Responsible and dependable, ready to learn.
  • Strong communication skills with the ability to work with others.
  • Flexible and open to change.
