Office Admin Assistant / Clerical - Machine Shop

Pay Rate: $20+ DOE
Location: North Houston 77073
Schedule: Day shift - 8AM to 5PM- Monday-Thursday and 8AM to 2:30PM Friday

Specialty machine shop in North Houston/Spring area is looking for an admin assistant to work front office. Must be experienced in office support and a Multi-tasker with the ability to "wear may hats". Looking for an employee who wants a long term career. You will work alongside the owner and shop personnel every day and take direction from the office manager.

Duties include:

  • Answering phones, good phone etiquette is a must
  • Greeting people at the door with the intercom system and checking them in.
  • QuickBooks - entering invoices, creating POs, Sales Orders
  • Excel and Word skills required
  • Data Entry
  • Correspondence / responding to emails
  • Processing staff pay role
  • Process Invoices and Purchase Orders
  • Filing / Scanning
  • General Office / Clerical work
  • Manage Office Supplies
  • Provide access for deliveries and outbound shipments
  • Scheduling
  • Entering Invoices and attaching invoice to the P.O.
  • Entering New Purchase Orders from Customers
  • Creating sales orders and e-mailing them
  • Adding to QC/Data logs, e-mailing projects, making file on server, making Folders
  • Giving folder to correct person to order material or to be invoiced or filed in open order file cabinet.
  • Keeping up with the supply cabinet and advising when orders need to be made.
  • Keeping paper full in the copier.
  • Getting updated certificates of liability insurance
  • Making stickers and tags for shipping
  • Making COC for customer P.O.’s
  • Matching Payments to the invoice and getting checks ready to mail out.
  • Checking delivery Status for Open P.O.’s for vendor side
  • Entering Inventory into the system from drawings
  • Process incoming mail
  • Setting up new vendors and customers in QB’s and making sure all required information is received.

Requirements

  • Pleasant and friendly personality to answer phones and great customers
  • Must have excellent attention to detail and be a fast learner
  • Be able to work in a collaborative small office environment
  • Ability to multi-task and handle diversified responsibilities
  • Ability to work with office and shop personnel
  • QuickBooks Desktop experience is a strong plus
  • Successful completion of an online QuickBooks assessment will be required

Expectations:

  • Be on Time – Monday – Thursday Hours 8 am -5 pm, Friday – 8 am – 2:30 pm
  • Stay Busy – There is always something to do
  • If you are unsure about a task you are expected to ask.
  • Be respectful.
  • Have an eye for detail.
  • Multi-Tasking
  • Willing to help any department if needed. If you are caught up, then see if anyone else needs help with anything.
  • Cell phone – while at work this is to be used only as needed.
  • Dress Code: Business casual shirt and blue jeans. Closed toe shoes.
