Job Summary: Supports the divisions of academic affairs by providing assistance in the general and ongoing work of the academic unit, performing secretarial work, such as preparation of reports, general correspondence and maintain files and supplies. Will spend time equally between the Communication Department and the Math and Computer Science Department.

Duties/Responsibilities:

  • Provide support to two Department Chairs by preparing reports, compiling data, scheduling meetings with various constituents, and managing events, including on/off campus venues.
  • Utilize software and databases (i.e. Jenzabar, MyDrury, Slate, etc.) to access data and create reports. This includes managing detailed student files and coordination of all student correspondence and annual student events.
  • Prepare routine correspondence including memos, letters, reports, etc. Using college procedures and deadlines, process and submit purchase orders, travel advances, reimbursements, etc. Provide budget assistance for Deans/Director as needed.
  • Prepare mailings and type correspondence; attend meetings, prepare and distribute minutes when needed. Produce forms, promotional materials, programs, etc.; work with prints and copy services.
  • Utilizing software programs/databases, assist Chairs with entering course schedules for review by registrar and academic affairs.
  • Serve as office receptionist as needed by providing information and assistance to visitors. Answer telephone calls, record and distribute messages to the appropriate party. Schedules meetings or appointments by request. Answers phones, greets and directs visitors. Deliver, pickup, sort, and route mail, packages, and printing jobs for sites and departments. Maintain copiers, office equipment, and supplies. Submit work orders as needed. Makes copies and prepares letters for mailing. Schedules events or trips as necessary.
  • Any special projects as assigned.

  • High school diploma or equivalent and three years proven administrative experience, or an equivalent combination of education and experience is required. Post-secondary education or Associate’s degree preferred.
  • Excellent computer skills and proficient in the use of all components of Microsoft Office; good design capability, and prior web experience helpful; interest in continual acquisition of skills. Ability to use a copy machine.
  • Excellent written communication and proofreading skills and attention to detail.
  • Ability to maintain confidentiality of all materials handled and seen in process of performing job responsibilities.
  • Understanding program deadlines and the academic process related to the programs.
  • Ability to prepare reports, business correspondence, and procedure manuals.
  • Ability to interpret a variety of instructions furnished in written, verbal, diagram, or schedule format.
  • Ability to be creative and flexible.
  • Ability to have neat, professional appearance for greeting students, faculty, and campus visitors.
  • Ability to handle stressful situations in a calm, orderly, and accurate manner, to complete work on time and to deal with the public.
  • Ability to work independently in order to organize and prioritize workload.
  • Analytical skills are necessary for maintaining records and preparing reports.

Education and Experience:

  • High school diploma and three years proven administrative experience; or equivalent combination of education and experience is required.
  • Associate degree or higher preferred.
