Job Description:

Intenze Products Inc. is seeking a highly organized and detail-oriented Bookkeeping A/P Assistant to join our team. The ideal candidate will have a strong background in accounting, expert experience in QuickBooks, Excel, and inventory management, as well as exceptional office organization skills. This role requires the ability to work in a fast-paced, evolving environment and effectively shift priorities between multiple companies.

Responsibilities:

  • Accounting & Finance: REQUIRED

    • Manage and oversee daily accounting tasks, including accounts payable/receivable, payroll, and general ledger entries.
    • Prepare financial reports, budgets, and forecasts.
    • Conduct regular audits and reconciliations.
  • QuickBooks & Excel Expertise: REQUIRED

    • Utilize QuickBooks for accurate financial tracking and reporting.
    • Must be able to demonstrate proficient experience in reconciliations, QB software and A/P.
    • Create and manage complex spreadsheets in Excel for various financial and inventory purposes.
    • Generate detailed financial analyses and reports as needed.
  • Inventory Management: (Training provided)

    • Oversee and maintain accurate inventory records.
    • Implement inventory control procedures and ensure optimal stock levels.
    • Coordinate with suppliers and manage purchase orders.
  • Office Organization:

    • Maintain an organized and efficient office environment.
    • Handle administrative tasks such as scheduling, correspondence, and filing.
    • Coordinate meetings, appointments, and travel arrangements.
  • Adaptability & Learning:

    • Quickly adapt to new tasks and responsibilities in a dynamic work environment.
    • Shift priorities efficiently between multiple companies as needed and have a willingness to streamline processes for efficiency.
    • Continuously seek opportunities for professional growth and development within the company.

Requirements:

  • Education & Experience:

    • Bachelor’s degree in Accounting, Finance, Business Administration, or a related field preferred. Or can provide at least 3 years of work experience in a related role.
    • Proven experience as an Executive Assistant or similar role.
    • Strong background in accounting and finance.
    • Expert proficiency in QuickBooks and Excel.
  • Skills & Competencies:

    • Exceptional organizational and multitasking abilities.
    • Strong attention to detail and accuracy.
    • Excellent written and verbal communication skills.
    • Ability to work independently and as part of a team.
    • Quick learner with a proactive attitude.
  • Technical Skills:

    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
    • Experience with inventory management software.
