The Administrative Assistant will support administrative duties, including the new hire process and assisting with onboarding new employees. They will greet, assist and provide direction and information to clients, visitors and other guests.
Main Duties
- Answers, screens, and directs phone calls to staff; takes messages and schedules appointments.
- Greets clients, visitors, and guests; determines the purpose of each person’s visit and directs or escorts him or her to the appropriate location.
- Receives mail, documents, packages, and courier deliveries and delivers or distributes items.
- Performs administrative and clerical support tasks.
- Performs basic filing and recordkeeping.
- Assist the Orientations & Safety Admin with the onboarding process for new hires.
- Creates weekly expense reports for field personnel and project managers.
- Track, order and maintain office supplies.
- Assist with meeting planning, food arrangements for trainings and occasional event planning.
- Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
- Establish and maintain commonality and continuity of record keeping, including physical & electronic filing systems.
Desired Education, Experience and Training
- High School diploma or equivalent.
- 1 to 3 years of experience working in a receptionist role.
- Excellent verbal communication skills.
- Strong organizational skill.
- Excellent interpersonal and customer service skills.
- Basic understanding of administrative and clerical procedures and systems.
- Demonstrated proficiency in MS Office, including Word and Excel.
- Strong interpersonal skills and the ability to build relationships with stakeholders, including staff, and external professionals.
- Resourceful team-player, yet with the ability to effectively work independently.
- Proven ability to handle confidential information with discretion.
