Job Overview: We are seeking a detail-oriented Wholesale Assistant to join our team and support our overseas wholesale operations. The Wholesale Assistant will be responsible for processing customer orders, communicating with various stakeholders, and ensuring the smooth execution of wholesale activities. The ideal candidate will possess strong organizational skills, excellent communication abilities, and a proactive approach to problem-solving.

Responsibilities:

  1. Processing Customer Orders, Order Preparation, Customer Communication:
    • Accurately process customer orders, ensuring timely fulfillment and adherence to customer requirements.
    • Prepare orders for release from Accounts Receivable and Logistics departments.
    • Communicate with the warehouse regarding customer orders and customer collection arrangements.
    • Liaise with customers regarding order collections, product information, and availability.
    • Provide information about warehousing and distribution processes to customers as needed.
    • Create commercial invoices for customer orders.
    • Fulfill sample requests from customers.
    • Prepare quarterly reports for customers.
    • Create weekly stock lists and
    • Coordinate with forwarders to meet logistic requirements (e.g., SLI, AUSFTA).
    • Facilitate internal transfers from other locations if stock levels in warehouses are low.
  2. Sales Support:
    • Update the sales order overview sheets with all incoming and pending orders daily.
    • Set up new customer accounts in the system.
    • Generate price lists for customers and maintain price lists for locked-in pricings.
    • Prepare quarterly and yearly reports for customers.
    • Create weekly stock reports
  3. Content Management:
    • Upload content (such as pictures, videos, etc.) to the shared folders.
    • Upload certifications, documents, etc., to the shared folder.
  4. Product Analysis and Research:
    • Analyze key online retailers in each country to gather market intelligence.
    • Obtain information about products requested by customers and relay findings to the relevant departments.

 

Qualifications:

  • High school diploma or equivalent; associate or bachelor’s degree preferred.
  • Previous experience in a similar role, preferably in wholesale operations.
  • Strong communication skills, both written and verbal.
  • Excellent organizational abilities with a keen attention to detail.
  • Ability to prioritize tasks and work efficiently in a fast-paced environment.
