Job DescriptionJob DescriptionWorking within a garage located on the Lower East Side. We are looking for a responsible Administrative Assistant to perform a variety of administrative and clerical tasks. Duties of the Administrative Assistant include providing support to our manager and employees, assisting in daily office needs and managing our company’s general administrative activities. Administrative Assistant responsibilities include making meeting arrangements, writing proposals and maintaining records and appropriate filing systems. The ideal candidate should have excellent oral and written communication skills and be able to organize their work using tools, like MS Excel and office equipment. If you have previous experience as a Secretary or Executive administrative assistant and familiarity with our industry, we’d like to meet you. Ultimately, a successful Administrative Assistant should ensure the efficient and smooth day-to-day operation of our office. Please be aware that this is a fast-paced working environment and admin personnel will be in charge of two entities and will wear many hats in the office. Administrative/Office Assistant (Full-time) Responsibilities
  • Answer and direct phone calls. Take any messages or information as needed
  • Organize and schedule appointments/meetings
  • Prepare schedules for the next morning
  • Coordinate between Supers, Managers, and our employees for access to buildings
  • Contact vendors for pricing information and present all info to the manager
  • Write and distribute emails, letters, and proposals
  • Responsible for maintaining time sheet of employees, customer tickets, proposals, and information for two separate entities
  • Update and maintain the current filing system
  • Update and maintain office policies and procedures along with light office equipment technical support (computers and printer)
  • Order office supplies, order materials for shop and job sites
  • Maintain contact lists
  • Assignments and Punctuality
 Skills
  • English and Spanish are must
  • Proven experience as an administrative assistant or office admin assistant within a fast-paced work environment
  • Knowledge of office management systems and procedures
  • Working knowledge of office equipment, like printers and fax machines
  • Proficiency in MS Office (MS Excel in particular) and Quick Books are a MUST
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multi-task
  • High School degree; additional qualification as an Administrative assistant or Secretary will be a plus
 Compensation/Benefit ·         $25 per hour/PTO for sick days only Schedule
  • 8-hour shift
  • Monday to Friday
  • 8 AM to 4 PM
Education
  • High school or equivalent (Preferred)
Experience
  • Administrative: 4 years (Preferred)
