This position supports our Executive Director/HR Director  with calendaring, booking travel, event planning etc

Position will be hybrid - remote with the exception of a few meetings in the Riverside area where the team comes together. This person will be responsible for the coordination and event planning of these gatherings and act within an office manager capacity.

We are seeking an Executive Assistant to join our team You will provide high-level administrative support two Executives at our company.

Responsibilities:

  • Handle administrative needs of Executive
  • Arrange conference calls and meetings
  • Plan work-related travel details
  • Receive visitors
  • Train and supervise lower-level clerical staff
  • Maintain and order supplies
  • Human Resources Tasks

Qualifications:

  • Previous experience as an executive secretary, administrative assistant, or in other related fields
  • Strong organizational skills
  • Ability to prioritize and multitask
  • Strong attention to detail
  • Organize and maintain electric files, records, and documents
  • Distribute incoming correspondence
  • Set-up  for meetings
  •  Maintain office supplies and equipment
  •  Support management in special projects and tasks as needed

Bookkeeping:

  • Responsible for essential tasks relating to Accounts Payable and Accounts Receivable as directed to by the Executive Director
  •  Provide information to the Executive Director in a timely manner for the production of Financials 
  • Maintain an accurate and organized file system

 

Skills Required:

· Bachelor’s degree in accounting or business administration, or equivalent business experience preferred

  • 2-4 years of experience in administrative or bookkeeping roles
  • 2 - 3 years of experience in Human Resources
  • Proficient in QuickBooks and Excel
  • Excellent written and verbal communication skills
  • Excellent organizational and time-management skills
  • Ability to multitask and work independently
  • Perform job responsibilities in an efficient and timely manner
  • A high degree of attention to detail, accuracy, and organization
  •  Friendly and customer service oriented
