Job Title: Administrative Assistant (Bi-Lingual Spanish Speaking)

Reports to: Executive Director

FLSA Status: Part-Time, Non-Exempt (24 hours per week)

Location: On-Site, Dallas, TX

About Us: The center of our work at The Truth Pregnancy Resource Center of Texas (TPRC) is to provide comprehensive, compassionate, and culturally just reproductive counseling services to all individuals who seek our support and guidance. TPRC is a start-up, non-profit organization that arises out of the First Unitarian Church of Dallas's decades-long commitment to people's reproductive rights and freedoms.

Summary: We are looking for an Administrative Assistant to support the Executive Director and Counselor staff. The ideal candidate has excellent oral and written communication in English and Spanish and is organized, diligent, and reliable. Prior experience as a Receptionist, Administrative Assistant, or Executive Assistant is preferred. A successful Administrative Assistant will ensure efficient and smooth daily operation of the office.

Responsibilities include, but are not limited to:

  • Answer and direct phone calls
  • Organize and schedule appointments
  • Plan meetings and take detailed minutes
  • Write and distribute emails, correspondence memos, letters, faxes, and forms
  • Assist with preparing scheduled reports
  • Develop and maintain physical and electronic filing systems
  • Update and maintain office policies and procedures
  • Research and order office supplies and printing needs
  • Maintain contact lists using a CRM and assist with volunteer lists
  • Manage social media pages and content (Facebook, Instagram, X, TikTok, etc.)
  • Make travel arrangements for Staff as needed
  • Assist Treasurer with monthly expense reports
  • Serve as initial point of contact for internal and external clients
  • Liaise with the Executive Director to ensure the needs of the organization are being served

Qualifications:

  • Experience in a start-up or new office environment is preferred
  • Knowledge of Microsoft 365 Suite - Word, Excel, Outlook, PowerPoint
  • Experience with managing lists in a CRM such as MailChimp, Hubspot, Salesforce, etc.
  • Knowledge of social media content management
  • Working knowledge of office equipment (printers, multiple phone lines, fax)
  • Excellent time management skills and ability to prioritize tasks
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Understanding of, or willingness to learn reproductive justice

Compensation Range:

  • $23/hour - $28/hour, DOE

  • Medical, dental, and vision benefits

Remote Work:

  • This role is not remote. Work-from-home options are limited. Working hours are typically Tuesdays and Thursdays from 11 am - 8 pm, and Wednesdays from 11 am to 5 pm (24 hours per week).

Relocation:

  • Relocation assistance is not available for this role, and candidates local to DFW are preferred.
