Job Summary
The Accounts Payable Specialist is responsible for making sure all bills are paid in an efficient and timely manner. The Accounts Payable Specialist provides administrative and clerical support by processing, verifying, and reconciling invoices, monitoring expenses, and keeping a record of it all for tax purposes.

Key Job Functions
• Create and maintain vendor master files for both vendors and employees.
• Ensure proper approvals and documentation are included with invoices and expense vouchers
• Enter and code vouchers with proper account numbers and review Voucher Edit Reports for accuracy
• Select vouchers for payment based on due dates.
• Process checks for payments and obtain approval signatures with supporting invoice documentation
• Post vouchers through integrated accounting system (i.e. Deltek)
• Post cash disbursement journals, ACH, manual checks and wires
• Review Check Register and assist with bank reconciliations
• Maintain accounts payable reports for each calendar month- voucher edit, prepayment report, voucher distribution, cash disbursements, check register etc.
• Assist with month end close and financial year end audit.
• Maintain Corporate Credit Card Program
• Update the recurring items schedule and prepaid expenses schedule for financial report closing
• Sending credit card statements to all PMs
• Prepare and Process IRS Form 1099s for all applicable payees for the calendar year
• Timely posting and upload of all employee 401K contributions to third party administrators.
• Keep Manager and Supervisors informed of work status.
• Process employee expense vouchers in conjunction with Federal Travel Regulations (FTR)
• Make use of network accounting drive for Accounts Payable information.
• Maintain Accounts Payable Work Procedures

Education and Qualifications
• Must have a minimum of (5) years accounts payable experience
• Bachelor's Degree in Accounting or related field or equivalent work experience
• Experience with Deltek Costpoint
• Strong customer service skills
• Excellent interpersonal and communication skills
• Strong Microsoft Excel skills
• Experience in a Government Contracting environment a plus
• Prior experience with Deltek Time & Expense and ADP Payroll is a plus
