The Accounts Receivable Coordinator plays a crucial role within the finance department of the Global Business Travel Association (GBTA). This position demands 2-5 years of relevant accounting experience, coupled with exceptional communication and organizational skills. The primary responsibilities include overseeing all billing, accounts receivable, and collection functions. This encompasses maintaining the general ledger, managing inter-company billings, handling accounts receivable activities, and executing general accounting tasks such as journal entries, account reconciliations, and financial analysis.
Key Responsibilities
Accounts Receivable Management:
- Monitor invoices through Salesforce across various currencies for corporate sponsors and partners.
- Process credit card transactions efficiently.
- Provide accurate bank deposit details to facilitate seamless bank reconciliation.
- Reconcile multiple PayPal accounts with bank deposits.
- Investigate and resolve unidentified receipts promptly.
- Prepare and distribute Chapter Dues and Tech Fees invoices.
- Manage the collections process, including communication with customers regarding outstanding balances.
- Maintain financial records in the membership database and convention software.
General Accounting Duties:
- Maintain monthly accounts receivable audit schedules and ensure alignment with the general ledger.
- Collaborate with the Customer Service Specialist to manage deposit logs.
- Assist in preparing documentation for annual financial audits.
- Prepare necessary journal entries and reconcile select balance sheet accounts periodically.
- Conduct analysis of accounts during the monthly closing process.
- Undertake additional duties and projects as assigned.
Qualifications
- Bachelor's degree in accounting or a related field.
- 2-3 years of experience in accounts receivable, billing, or collections.
- Proficiency in database management.
- Strong organizational skills with the ability to manage multiple projects in a fast-paced environment.
- Excellent communication and analytical skills with a keen attention to detail.
- Ability to work independently while also collaborating effectively with a team.
- Proficient in cloud-based systems and MS Office Suite, particularly Excel.
Preferred Skills
- Experience with ACHs, wire transfers, and foreign currency transactions.
- Familiarity with Sage Intacct, Tipalti, and Concur software.
- Knowledge of international accounting practices and not-for-profit organizations.
- Multi-lingual capabilities are a plus.
Work Environment
- This position is fully remote.
- Prolonged periods of sitting and working on a computer are expected.
- Flexibility in working hours may be required to accommodate various meetings and events.
