The Parts Sales & Service Coordinator performs a variety of inside sales, customer service, and stocking duties related to the sale, receiving, and delivery of parts and accessories that contribute to the efficient, safe, and profitable operation of the Parts & Service Departments. Responsible for processing service department, counter, e-mail, telephone parts sales, providing customer service, and other essential job functions. Commission based bonuses based on parts individual sales numbers and service department goals. Working under the direction of the Service Manager, the Service Clerk will provide support and serve as the “right hand” of the Service Manager. The duties in this role are not duplicative to those of the Service Manager but are in place to improve the efficiency and effectiveness of the Service Department. In addition, the Service Clerk is expected to provide fair, timely, courteous, and effective customer service.

ESSENTIAL DUTIES & RESPONSIBILITIES:

● Maintain relationships with existing customer base through phone calls, in person interactions, or emails.

● Assist the Service Manager in all duties required to effectively meet Service Department goals.

● Supervise service order creation, and track work progress as required.

● Coordinate service requests with customers and communicate ongoing work with customers as required

● Proactively reach out to customers to update on parts and service status.

● Keep management informed by submitting activity and results reports, such as daily call reports, weekly work plans, and monthly and annual territory analyses.

● Prepare and complete sales orders and invoice customers electronically.

● Assist in procuring documentation, parts, and service literature to support Service Department needs.

● Determine parts required according to inspection of parts, customer’s requests/description of malfunctions.

● Intake service parts orders, retrieve parts from the warehouse, and coordinate delivery to appropriate jobs.

● Package and label shipments for UPS, FedEx, motor freight, and Hot Shot shipments

● Fill orders through drop shipments by issuing Purchase Orders to manufacturers.

● Work closely with manufacturers to process warranty claims

● Assist in overseeing rental check in and return processes

● Operate the various digital database systems associated with employee pay, hours, service notes and job orders as directed

● Receive payment or obtain credit authorization.

● Examine returned parts for defects, and exchange defective parts or refund money.

● Receive parts inventory orders and post to proper location in the inventory business system. Take inventory of stock by using cycle counting and annual inventory counts

● Mark and store parts in parts storage according to prearranged systems

● Perform special projects as needed by the company.

QUALIFICATIONS

● High school education, and minimum of three years’ sales experience

● Skilled business systems such as MS Dynamics, SAP, or other like business systems

● Proficiency in the use of MS Office, MS Outlook, Word, Excel programs and the ability to scan, attach, send and receive attachments.

● Ability to read computer displays, PDF files, or catalogs to determine replacement part numbers and prices.

● Keep up to date technically and apply new knowledge to the job.

● Must have a valid driver’s license and clean driving record.

● Personable, friendly, and willing to listen.

● Bilingual in English and Spanish is a plus.

● The ability to lift in excess of 50-pound boxes to a height of 3-4 feet or other relevant material and load them onto storage shelves or customer’s vehicles.

● Climb ladders, stoop, kneel, crouch, or crawl.

● Specific vision abilities required by this job include close vision, distance vision, depth perception, and ability to adjust focus.

● The ability to stand and kneel for long periods of time while stocking parts.

● Must be able to move about the warehouse to access parts, package and ship orders, and receive shipments.

● Must be able to: talk and hear, stand, sit, walk on both paved and uneven surfaces; use hands to finger, handle, or feel; and reach with hands and arms.

● Able to use both hands and both feet concurrently.

● Sufficient hearing to be aware of traffic, warning signals, passenger stop indicator, passenger requests, etc.

● Ability to work in ambient weather conditions when shipping, and receiving parts, and taking inventory.

The noise level in the work environment is usually loud. This position is occasionally exposed to moving mechanical parts; high, precarious places; fumes or airborne particles; toxic or caustic chemicals; outside weather conditions, including heat; risk of electrical shock; and vibration.
