We are seeking a highly organized and detail-oriented Administrative Coordinator to join our team. As an Administrative Coordinator, you will provide support to ensure efficient operation of the office. This is a vital role in our organization, requiring excellent communication skills and the ability to multitask effectively.

Duties and Responsibilities:

  • Proposal/project setup. Enter new project information in Deltek VantagePoint accurately. Upload supporting documents including setup sheets, proposals, and contracts. Create folders on the server as needed.
  •  Invoicing in Deltek VantagePoint. Promptly prepare invoices and work closely with project managers to meet established monthly invoicing deadlines. Prepare budget reports for the Office Manager to review. Send invoices and budget reports to clients in a timely manager.
  • Assist with accounts receivable in the capacity of general follow-up emails to invoices and sending AR statements to clients.
  • Manage office materials and supplies. 
  • Organizing information for the department to include maintenance of active job lists, marketing files, schedule of vehicles, employee lists, etc.
  •  Answering and screening incoming calls in a friendly and well-spoken manner, routing callers to the appropriate person.
  • Assist office with expense report preparation.
  • Facilitate new employee onboarding as liaison between IT support and HR.
  • Additional duties may be required as we continually adjust to support our staff to provide high quality services to our clients.

 Experience:

  • Proven experience as an administrative coordinator or assistant or in a similar role.
  •  Proficient in using computer software programs, including Microsoft Office Suite (Word, Excel, PowerPoint)
  • Strong organizational skills with the ability to prioritize tasks effectively
  • Excellent communication skills, both written and verbal
  •  Attention to detail and problem-solving abilities
  • Ability to work independently with minimal supervision
