Receptionist Administrative Assistant

The purpose of this position is to ensure smooth day-to-day operations of the practice while providing superior customer service to the firm’s prospects, clients and team members. Position requires employee to perform general administrative services such as incoming calls, calendar management, travel arrangements, outgoing mailings, and welcoming clients to the office.
JOB DUTIES
- Answer the phones in a friendly, warm manner
- Record notes from every client conversation in the database
- Maintain an organized, compliant and efficient filing system
- Sort and distribute all incoming mail
- Assist with copying or scanning as requested by the team
- Pull appropriate client files when requested by the team
- Assist our transfer and service specialist with fax confirmations & follow-up phone calls to appropriate companies
- Mail all outgoing correspondence
- Greet incoming clients in a professional manner
- Have beverages and chocolates in-stock for clients
- Call clients day before appointment and remind them of time and location
- Run errands as necessary
- Manage advisor’s calendar regarding appointment rescheduling
- Order and manage office supplies
- Assist marketing coordinator with client touch marketing program
