Accounting / Administrative Assistant

Job Summary:
We are looking for a dedicated and detail-oriented Accounting / Administrative Assistant to join our dynamic team. This role is a hybrid position that combines accounting responsibilities with accounts receivable duties, receptionist tasks, and general administrative support. The ideal candidate will be responsible for processing accounts payable, performing account reconciliations, managing data entry, and providing exceptional customer service while handling front desk operations. Key Responsibilities:
Accounting Duties:
- Accounts Receivable:
- Generate and send invoices to customers.
- Track incoming payments and apply them to customer accounts.
- Follow up on overdue accounts and assist with collections.
- Reconcile customer accounts to ensure accurate records.
- Accounts Payable:
- Match PO receipts to vendor invoices.
- Enter payables into the ERP system.
- Assist with vendor payments and sales tax calculations.
- Create POs in the ERP system as needed.
- Perform account reconciliation using Excel.
- Handle credit card coding and receipt collection.
- Assist with financial closing and audits.
- Support customer billing processes.
Administrative & Reception Duties:
- Answer and direct phone calls with professionalism and courtesy.
- Greet and assist clients and visitors, ensuring a positive first impression.
- Manage filing, recordkeeping, and general office organization.
- Receive and distribute mail and packages.
- Order supplies for various departments.
- Assist with HR tasks and other departments as needed.
- Make coffee and help maintain a tidy office environment.
