Key Responsibilities:

Accounting & Financial Management:

  • Assist in managing all aspects of accounts payable and receivable, including entering bills and processing invoices in QuickBooks.
  • Track and follow up on outstanding balances, ensuring timely payment collection.
  • Prepare and reconcile financial reports to maintain accurate records.
  • Assist with job costing to ensure profitability on all projects.
  • Support financial analysis and budgeting processes as needed.

Permitting & Operations:

  • Handle the submission and follow-up of permits and requests, such as OPRA records and other regulatory requirements.
  • Execute the sale and resale of fleet vehicles as directed, ensuring all necessary paperwork and transactions are completed.
  • Schedule and manage Mesa training sessions, including coordinating with trainers and participants.

Customer Service & Sales Support:

  • Provide mild customer service support by answering inbound sales calls and emails related to tank sweeps, soil samples, and other services.
  • Respond to inquiries via Facebook Messenger and other platforms, ensuring timely and accurate communication with customers.
  • Assist in booking inspections for the Tank Guard plan and ensuring all necessary forms are signed and filed.
  • Support the sales process by entering email correspondences into Pipedrive and other CRM systems.

Administrative & Miscellaneous:

  • Maintain and monitor email correspondence 24/7 to ensure prompt responses to customer and internal communications.
  • Manage the scheduling of septic pump-outs, soil pick-ups, and other logistical needs.
  • Assist with entering invoices into QuickBooks for York Labs and other service providers.

Qualifications:

  • Bachelor’s degree in Accounting, Finance, Business Administration, or a related field is preferred.
  • Minimum of 3 years of experience in accounting, with a strong proficiency in QuickBooks.
  • Experience in operations management, permitting, or a similar role is highly desirable.
  • Strong organizational skills with the ability to multitask and prioritize in a fast-paced environment.
  • Excellent communication skills, both written and verbal.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with CRM systems like Pipedrive.
  • Ability to work independently and as part of a team, with a strong attention to detail.
