Job Overview

We are seeking a dedicated Accounting and Operations Specialist to join our team at Tesa Manpower. This role encompasses a blend of financial management, operational oversight, and customer service support, ensuring the smooth functioning of our business processes.

Key Responsibilities:

Financial Management:

  • Assist in overseeing all facets of accounts payable and receivable, including the entry of bills and processing of invoices using QuickBooks.
  • Monitor outstanding balances and follow up to ensure timely collections.
  • Prepare and reconcile financial statements to uphold accurate records.
  • Support job costing initiatives to guarantee project profitability.
  • Contribute to financial analysis and budgeting efforts as required.

Operations & Permitting:

  • Manage the submission and follow-up of permits and regulatory requests.
  • Facilitate the sale and resale of fleet vehicles, ensuring all necessary documentation is completed.
  • Coordinate and schedule training sessions, liaising with trainers and participants.

Customer Support & Sales Assistance:

  • Provide customer service support by responding to inquiries related to various services.
  • Engage with customers through multiple communication platforms, ensuring prompt and accurate responses.
  • Assist in scheduling inspections and ensuring all required documentation is completed.
  • Support the sales process by managing email communications within CRM systems.

Administrative Duties:

  • Maintain consistent email correspondence to ensure timely responses to both customer and internal communications.
  • Oversee the scheduling of logistical needs, including service appointments.
  • Assist with invoice entry for various service providers.

Qualifications:

  • A Bachelor's degree in Accounting, Finance, Business Administration, or a related field is preferred.
  • A minimum of 3 years of accounting experience, with strong proficiency in QuickBooks.
  • Experience in operations management or permitting is highly desirable.
  • Exceptional organizational skills with the ability to manage multiple tasks in a dynamic environment.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite and familiarity with CRM systems.
  • Ability to work independently and collaboratively, with meticulous attention to detail.
