Job Summary:
We are seeking a dedicated and compassionate individual to fill the role of Appointment Coordinator/Driver. This position involves transporting individuals with mental health challenges to and from appointments, treatment facilities, and other locations as needed. The driver will play a crucial role in ensuring the safety, comfort, and well-being of the clients during transportation. Scheduling and coordinating medical appointments, images/labs and other 


Qualifications:

Medical Assistant Program or Certified Nursing Assistant preferred, with a preference for candidates with at least two years of experience. Knowledge of clinical terms, CPR and first aid certification, basic computer skills, and current De-escalation Training certification are desirable.


Responsibilities and Duties:

Client Care/Supervision


At ASC, our focus is always on meeting our clients' needs and providing exceptional services. As a healthcare and mental health administrative assistant, you will have the opportunity to make a meaningful impact on our clients' lives. Your responsibilities include:


  • Handling administrative and clerical tasks.
  • Preparing clients' medical records.
  • Acting as a liaison between the program nurse and clinical services.
  • Incorporating individual needs into direct service and sharing client progress.
  • Maintain a professional and empathetic demeanor when interacting with clients.
  • Assisting with crisis intervention, working collaboratively with the team and clients.
  • Collaborating with healthcare providers to schedule lab work and appointments.
  • Documenting the services provided in electronic health record and collect and document vital signs.
  • Responsible with maintaining Microsoft excel logs that relate to client care.
  • Safely transport individuals with mental health challenges to various appointment destinations in a timely manner (appointments can include; medical, dental, images/lab, podiatry, specialist, optometrist and others.
  • Follow established routes and schedules, while also being flexible to accommodate any changes or unforeseen circumstances.
  • Ensure the safety and security of clients at all times during appointments.
  • Demonstrate sensitivity, provide support and modeling when assisting clients in the community.
  • Maintain the cleanliness and organization of the vehicle, perform routine inspections and maintenance checks.
  • Communicate effectively with supervisors, and other team members to provide updates on schedules, delays, or any passenger-related concerns.
  • Uphold confidentiality and privacy standards in accordance with regulations and organizational policies.
  • Provide assistance to clients as needed, which may include helping with light mobility, navigating locations, or offering support during appointments.
  • Schedule: This full-time position offers flexibility to accommodate individual providers' needs within our program, Appointment Coordinator position operates Monday - Friday (after hours/weekends as needed).
  • Instruction: As an administrative assistant, you will directly assist clients by modeling healthy communication and helping them overcome challenges in personal care.
  • Meetings: Your active participation in staff meetings and training activities contributes to the collaborative and continuous improvement efforts of our multidisciplinary team.
  • Other: Confidentiality and promptly reporting unusual situations or problems to your supervisor ensures a supportive and secure environment for our clients and caregiver's.
  • Must have a clean driving record.
  • Must pass federal/state required background check
  • And other work duties as assigned.


Job Requirements:

  • Preferred (not required): Certificate from a Medical Assistant Program or Certified Nursing Assistant is preferred. 2+ years' experience is a plus, mental health experience a plus.
  • Valid California driver's license, and a clean driving history.
  • Recent health screening and TB test.
  • No criminal history, verified by fingerprinting and background check.
  • Excellent communication, organizational skills, and personal qualities of warmth, humor, respect, professionalism, and teamwork.
  • CPR and first aid certification (within 30 days after employment).
  • Proficiency in basic computer applications (Word, Excel, Exym-EHR, other medical databases (employer will provide training)).
  • De-escalation Training certification (provided by ASC).
  • Ability to remain calm and composed in stressful situations while demonstrating compassion and empathy.
  • Flexibility to adapt to changing schedules and priorities.
  • The job may require driving in various weather conditions and traffic situations.
  • Available to be flexible with the day-to-day activities
  • Adapt to unforeseen expectations, maintain organization within job role and have excellent communication with supervisor/team members.
