Position Summary

Reporting to the Sr Director of Global Human Resources, BNI is looking to hire a full-time Office Manager who will be responsible for the general operation of our Global HQ office in Charlotte, NC. The ideal candidate must have excellent organizational skills, display organizational efficiency, have a personable disposition to keep us thriving in a positive and inclusive work environment, and have natural flexibility in handling day-to-day routines as well as surprises. The successful Office Manager is an energetic professional who doesn't mind wearing multiple hats. Experienced in handling a wide range of administrative duties and support-related tasks and able to work independently with little or no supervision. Well organized, flexible, and enjoys the administrative challenges of supporting an office of diverse people.

Roles and Responsibilities

  • Ensure office efficiency by maintaining common areas, organizing procedures, handling correspondence, managing file systems, and overseeing supplies and equipment
  • Oversee day-to-day office activities as the main point of contact in the reception area, and keep management informed regularly via regular performance reports/communications
  • Plan and coordinate special office events, which may include venue selection, catering, etc. Manage event budgets, negotiate contracts and handle vendor relationships
  • Provide direct administrative support as needed, including managing calendars, onboarding new hires; scheduling appointments, meetings, and in-house/off-site events; booking travel; maintaining file systems; sorting, distributing and mailing packages; as well as maintain employee lists
  • Oversee and maintain office equipment for uninterrupted function, identify needs and acquire supplies, manage vendor relationships, and coordinate food deliveries when requested
  • Manage all aspects of office infrastructure planning (ex. moves, additions, changes to workstations) and provide answers, resources, and solutions when requested
  • Responsible for partnering with Human Resources to implement office policies and set up procedures and standards to guide the office's operation.
  • Coordinate office engagement activities to ensure employee satisfaction
  • Create and enforce office Safety procedures to ensure a safe work environment

Qualifications

  • Proven experience as an Office Manager, Admin Assistant, Operations Assistant, or similar role
  • 3+ years of experience in office management
  • Strong critical thinking, time-management, interpersonal, and strong verbal communication skills
  • Attention to detail and problem-solving skills
  • Internal engagement, external vendor partnership development are critical components for this role
  • Ability to maintain the confidentiality of company information
  • Proficiency in MS Office (MS Excel and MS Outlook, in particular)
  • Bachelor’s degree and experience developing internal systems is preferred

Physical Demands and Working Conditions

Sedentary work. Exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects. Repetitive motion. Substantial movements (motions) of the wrists, hands, and/or fingers. The worker is required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading.
