Our client has an opportunity for a Client Service Specialist (Legal Secretary) in our New York office to support our Financial Restructuring practice group. The Client Service Specialist will provide administrative support to both internal and external clients.
Responsibilities:

  • Maintaining a consistent physical presence to foster an interactive and collaborative environment, optimizing assignments, cross-training, and peer support.
  • Coordinating legal practice tasks and projects.
  • Managing administrative functions such as finance/billing tasks, time and expense entry, opening new matters, client presentations, meetings, and other assigned projects.
  • Collaborating with and delegating to firm resources including DPS, Williams Lea, Client Service Center, and practice support departments in international offices.
  • Preparing complex legal documents and correspondence, filing with appropriate courts or agencies, and applying subject matter expertise to legal practice tasks.
  • Supporting the Finance Department in editing and reviewing client bills, correcting time entries, promoting best practices, and managing billing protocols and other accounting functions.
  • Overseeing attorneys' legal and administrative practices to ensure service levels meet client requirements.
  • Being available for overtime as required.

Proficiencies required include advanced organizational, prioritization, coordination, and team collaboration skills. Advanced to expert proficiency in English grammar, spelling, and punctuation, with bilingual proficiency as needed. Advanced proficiency in MS Word, Outlook, Excel, and PowerPoint, as well as document editing/comparison, web-based conference call/web-sharing, and document management applications. Knowledge of timekeeping, expense processing, legal billing, jurisdictional/court/agency processes, and strong communication skills for coordinating with firm-wide departments.

Qualifications:

  • Bachelor’s degree (preferred)
  • At least 4 years of legal secretarial experience or relevant legal experience (required)
  • Experience with e-filings (required)
  • Experience supporting financial restructuring (preferred)
