Executive Assistant

Salary: $80-90k, based on experience

Location: La Jolla, 4 days in office/ 1 day remote

Direct Hire

 

RESPONSIBILITIES DUTIES:

·         Oversee the day-to-day operations of the COO's office

·         Organize and coordinate internally and externally facing meetings, conferences, and events, managing logistics, agendas, materials, and minutes

·         Proactively identify and address issues that may impact the COO's effectiveness and provide solutions and recommendations to boost operational efficiency

·         Provide administrative support to the COO, including managing calendars and scheduling meetings

·         Prepare, edit, and refine reports, presentations, and other documents as required

·         Conduct research and gather information to support the COO's strategic planning and decision-making

·         Monitor and report on the progress of key initiatives and provide regular updates to ensure alignment with strategic goals

·         Build and maintain strong relationships with internal and external stakeholders, ensuring seamless communication on behalf of the COO
 

REQUIREMENTS:

·         Bachelor’s degree in business administration, communications, or a related field preferred.

·         2+ years of proven experience in a role that demonstrates strong organizational and administrative skills

·         Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace (Docs, Sheets, Slides, and Forms) required

·         Exceptional organizational and time management skills, with the ability to manage multiple tasks and priorities

·         Strong written and verbal communication skills, with attention to detail and accuracy

·         Adaptable to changing priorities while maintaining a high level of productivity

·         Discretion in managing sensitive and confidential information
