Job Description:
We at Russell Tobin are seeking a Talent Acquisition Operations, Recruiting Coordinator to join our client in the bank and financial sector. This role is essential in providing recruitment support for a team of recruiters and ensuring a seamless hiring process.
Responsibilities:
- Schedule a high volume of interviews, coordinating availability with candidates and the business, booking conference rooms or video conferences, and sending planners and confirmation emails.
- Produce contracts for the US, Canada, and Latin America, understanding the legal requirements and variances of each region.
- Process internal transfers and implement onboarding and other pre-hire checks, escalating issues when necessary.
- Maintain accurate information in the applicant tracking system (Workday) and other trackers.
- Act as the point of contact for committed hires, handling the post-offer, pre-hire process to ensure all vital actions are taken before the new hire's start date.
- Drive solutions through critical assessment and delivery in support of core HR processes, recommending continuous improvement opportunities.
- Develop high-performing partnerships with teams across the firm, including Talent Acquisition, HR Compliance, Talent Management, Diversity & Inclusion, Legal, Finance, and others to effectively handle issues and escalations, ensuring risk mitigation and seamless resolution.
- Contribute to cross-functional HR projects as needed.

- Attention to detail with a demonstrable track record of operational excellence in the HR realm.
- Strong client relationship management capabilities, capable of rapidly building strong, effective, and trusted relationships and networks.
- Highly motivated, energizing, and inspires others to seek higher levels of performance.
- Strong communication skills with the ability to influence and articulate a variety of issues to different audiences, tailoring messages accordingly.
- Experience with Workday is a plus.
- Proficient in Microsoft Excel, Outlook, and PowerPoint.
Education:
- BA/BS degree
- Certifications and coursework in areas of HR expertise preferred
