Front Office Coordinator | Customer Experience Coordinator

Healthcare is seeking a dedicated Customer Experience Coordinator to support our growing team in providing exceptional customer experience to our clients and maintaining the daily operations within the office. This position will engage and advocate for the client and clinicians to provide exceptional customer service. The position will also be responsible for the storefront bodega’s aesthetics, inventory, and sales. This role requires excellent organization, communication, time/ task management skills, and critical thinking skills. The health of the entire office is imperative in keeping the unified client experience at an exceptional standard. This role will also be assigned additional tasks as needed for operational success.

Customer Experience Coordinator Duties and Responsibilities

Office

● All aspects of client support including but not limited to; answering incoming calls, responding to emails and general inquiries, identifying client needs for appropriate services, sharing knowledge of services, products, upcoming events, and current specials offered, setting up new client profiles, scheduling appointments correctly within clinician availability, follow-up communication with clients and staff as required

● Responding to general service, special events/request inquiries, and current specials within 24 hours upon receipt

● Scheduling client appointments within clinician availability

● Create and maintain all client profiles in Simple Practice from waitlist through inactive engagement and documenting and communicating all client interactions

● Documenting payment schedules within Simple Practice and Square as needed. ● Engaging with customers by sharing knowledge of services, processes, details, products, events, and current specials

● Maintain/order customer, office, and janitorial supplies.

● Marketing Content and Schedule support: newsletters, social media schedules, events, etc.

● Perform other administrative and clerical duties as necessary such as but not limited to: ○ Attending weekly scheduled meetings

○ Keeping the office space clean, organized and stocked with supplies

○ Post office, bank, and store runs

Bodega

● A cohesive plan for the Bodega and strategies for sales

● Maintaining operational success of the bodega, including but not limited to; design and aesthetics, the flow of space, inventory organization, pricing, stock control, and sourcing products that support our brand.

● Building and maintaining effective and efficient processes for operational success to support sales goals.

● Run marketing campaigns, identifying trends in stock and providing customers with the items that meet their needs and our brand.

● Sales goals set for the Bodega.

Customer Experience Coordinator Requirements and Qualifications

● High school diploma or equivalent; associate or bachelor’s degree in psychology or related field preferred

● Experience as a Customer Experience Coordinator, in a customer-facing service industry, mental health practice, and sales experience

● Experience in mental health practice and/or general sales/retail experience.

● Proficient in Google Drive. Preferred experience with Simple Practice.

● Strong communication, organizational, essential social skills, and critical thinking

● Strong time and task management skills, detail-oriented

● Independent judgment skills that align with our model, shared values, and culture

● Reliable self-starter who can work independently and as part of a team

● Comfortable working independently

● Medical Billing Experience preferred
