We are in search of a highly organized and detail-oriented candidate to become an integral part of our team as an Accounting and Administrative Assistant. In this pivotal role, you will be responsible for a wide range of accounting, accounts receivable, and administrative tasks, all aimed at bolstering our business expansion and strengthening our accounting department. This exciting opportunity offers a chance to broaden your accounting expertise and acquire invaluable experience within a dynamic work setting.
This position operates within a fast-paced environment, and the ideal candidate should demonstrate the ability to adapt and become fully functional within two weeks.
Responsibilities:
· Process vendor and customer invoices, transactions, and expenses
· Assist the Accounting Manager with various accounting tasks
· Handle both Accounts Payable and Accounts Receivable duties, including:
- Analyzing data to resolve discrepancies promptly
- Accurate data entry for vendor and customer invoices/payments
- Reconciliation of vendor and customer accounts/ledgers
- Transmitting customer invoices when required
- Requesting vendor invoices as necessary
- Processing customer and vendor payments
- Managing past-due collections
· Organize and maintain efficient filing systems
· Manage light administrative tasks such as answering phones, delivering outstanding customer service, handling mail, and organizing files
· Send billing correspondence when required
· Continually propose improved systems and organizational methods to enhance efficiency
Skills and Qualifications:
· MUST have previous experience in Accounts Receivable
· MUST be tech-savvy with the ability to adapt to new software systems
· Proficiency in data entry and 10-key
· Strong prioritization and multitasking skills
· Exceptional attention to detail
· Ability to meet deadlines consistently
· Excellent verbal and written communication skills
· Outstanding time management and organizational abilities
· Analytical and problem-solving mindset
· Capability to work both independently and in a team setting
· Professional, positive, and "can-do" attitude
· Integrity and transparency in all tasks and interactions are essential
